Office Position Overview
President
Overview: The Society for Human Resource Management is a student-led organization under the College of Business Administration (CoBA) at CSUSM. As President, you will serve as the official representative of student activities, meetings, and additional networking events for the society. This position requires a passionate, energetic, and organized student who believes in the organization's mission to provide our members with a more comprehensive understanding of the array of careers and critical issues within the Human Resource field. To accomplish this mission, the President will establish agendas with guest speakers, lead society meetings, and ensure all administrative tasks are completed in a timely and successful manner by board members.
Responsibilities:
Lead and supervise the society’s officers
Delegate critical tasks among officers
Partner with Director of Marketing and Communications on contacting members through our email channels, updating website and marketing materials as needed
Work with the treasurer and other officers to create and sell society merchandise such as graduation stoles, shirts, etc.
Meeting/Event facilitation and participation
Plan and lead all meetings, including board meetings and 1:1 meeting with officers
Contact/coordinate with guest speakers prior to the semester
Attend Student Org Council Meetings (SOC)
Attend SD SHRM Meetings when possible
Attend CSUSM events (Meet & Greet, Student Org Fair)
Recruitment and succession planning
Help recruit for new positions and create succession plans through initiatives such as a beginning of the semester society pitch video
Update our society’s succession plan document each semester
Ensure the smooth transition between officers through providing necessary training materials and guidance
Collaborate with COBA, SLIC, and professors
Connect with SLIC regarding events and stay updated on upcoming deadlines (such as the student org recognition form, etc.)
Contact professors to see who is interested in offering extra credit to students who attend our meetings
Collaborate with Paige Vahle and other key CoBA contacts on our budget, meetings ideas, etc.
Perform necessary administrative tasks
Stay up to date with SHRM email accounts
Update paperwork with SD SHRM annually
Fill out indemnification forms and guest parking passes
Create revisions to Bylaws and Constitution and needed
Sign Reimbursement forms
Fill out grant proposal and evaluation with the treasurer

Vice President
Overview: The Society for Human Resource Management is a student-led organization under the College of Business Administration (CoBA) at CSUSM. As Vice President, you will serve as the President’s “right-hand person.” This partnership is crucial for the success of the organization, as various tasks and responsibilities will be shared between these two leaders. The VP is responsible for knowing and keeping track of all upcoming student activities, meetings, and additional networking events for the society. This position requires collaboration, excellent communication skills, and above all helps to achieve the organization's mission to provide our members with a more comprehensive understanding of the array of careers and critical issues within the Human Resource field. To accomplish this mission, the Vice President will help manage the relationships between board members and society members and perform other administrative tasks assigned by the President.
Responsibilities:
Assist with organization’s operations
Event/Meeting planning and participation
Attend and participate in society board meetings, biweekly member meetings
Send meeting reminders and Zoom link to guest speakers one week prior to scheduled meetings
Send thank you notes after guest speaker presentations
Research and present internship and job opportunities
Attend CSUSM events (Meet & Greet, Student Org Fair)
Coordinating fundraising efforts
Confirming semester’s budget with Treasurer
Research SD SHRM events
Help monitor SHRM emails
Assist with MailChimp as needed
Attend SOC meetings if the President is unable to attend
Ensure documents/drive is organized and up to date
Fill in for President as needed
Collaborate with President and other officers to plan for future semesters and delegate administrative tasks
Assist Secretary and Treasurer in keeping track of all new members
Ensuring Contact information on file for all members
Confirming paid or unpaid members and verifying all payments made in a timely manner (in-person meetings only - virtual membership is free)
Recruitment and succession planning
Recruit members (through society pitch video, short class presentations in their classes, attending meet and greet events, etc.)
Assist in identifying and recruiting future officers
Ensure the smooth transition between officers through providing necessary training materials and guidance
In-person meeting facilitation (as applicable)
Set up the meeting room with all things needed before society meetings
Example: Logging into the computer, making sure the person picking up food has help carrying in, greeting speaker if President is not available, Assisting secretary with member sign-ins
Must have at least 10-15 minutes availability before scheduled meetings
Pick up food for meetings or coordinate with other officers

Director of Marketing and Communications
Overview: The Society for Human Resource Management is a student-led organization under the College of Business Administration (CoBA) at CSUSM. As Director of Marketing and Communications you will serve as the “external voice” for all student activities, meetings, and additional networking events for the society. This position requires a creative, detail-oriented, and passionate student who enjoys working with social media platforms and promoting the organization’s events. This position requires collaboration, excellent communication skills, and above all helps to achieve the organization's mission to provide our members with a more comprehensive understanding of the array of careers and critical issues within the Human Resource field. To accomplish this mission, the Director of Marketing and Communications will establish a semester-long marketing plan, create dynamic and engaging material for our website and social media accounts, post this material, and respond to any inquiries from students via social media.
Responsibilities:
Maintain and update the society’s social media accounts

Google Website
Use Canva and MailChimp to design marketing materials
Canva→ IG/LinkedIn posts advertising our upcoming meetings/events
Mailchimp→ Email campaigns announcing upcoming meetings
Create a “Content Plan” for the semester
Outlines when to publish IG, LinkedIn posts (Ex: IG post published on Monday of our meeting week)
Re-post published post on Wednesday & Thursday before 12PM
Create and distribute "Email Blasts" to members
Notice/reminders of upcoming events/meetings (Ex: SHRM Meeting reminders (Mondays and Thursdays of the meeting week)
COBA events/announcements
Job/internship opportunities
Create a MailChimp campaign template for each meeting and send to CoBA Marketing and Event Specialist
Coordinate with CoBA Marketing and Event Specialist to ensure SHRM is following the best marketing practices
Assist with the design of graduation stoles, t-shirts and other SHRM merchandise
Take photos at meetings or events
Special Projects:
Collaborating with the board, create a short yet engaging “SHRM Pitch Video” for the beginning of each semester
Share finished project to social media accounts and with COBA instructors

Secretary
Overview: The Society for Human Resource Management is a student-led organization under the College of Business Administration (CoBA) at CSUSM. As Secretary, you will serve as the record keeper of the society. This position requires a creative, detail-oriented, and passionate student who enjoys taking meticulous notes and maintaining internal communication. This position requires attention to detail as well as excellent communication and note-taking skills, and above all helps to achieve the organization's mission to provide our members with a more comprehensive understanding of the array of careers and critical issues within the Human Resource field. To accomplish this mission, the Secretary manages all the organization's internal communications including keeping track of board and society meeting dates, noting meeting attendance, and taking notes at each meeting.
Responsibilities:
Keep track of meeting agendas by taking notes at every meeting
These notes should include:

Date
What we learned (key takeaways)
Any questions asked
Keep “Membership Records” associated with every meeting
Sign-up sheet with date, name and student email (in-person)
During recruitment days (the first few weeks of the semester), create sign-up sheets
Excel/Google Sheets (virtual)
Blank Excel sheet & clipboard (in-person)
Continually update the “Membership Records” spreadsheet and inform Presidents/VP of any additions
Create and share feedback surveys with society members

Treasurer
Overview: The Society for Human Resource Management is a student-led organization under the College of Business Administration (CoBA) at CSUSM. As Treasurer you will serve as the controler the society's expenditures. This position requires an organized, detail-oriented, and passionate student who enjoys coming up with creative fundraising ideas and ensuring the society’s funds are carefully tracked. This position requires collaboration, excellent communication skills, and above all helps to achieve the organization's mission to provide our members with a more comprehensive understanding of the array of careers and critical issues within the Human Resource field. To accomplish this mission, the Treasurer will execute budget planning, financial reporting, record-keeping, managing incoming and outgoing funds, and assist with planning and executing fundraising events.
Responsibilities:
Maintain records of SHRM’s budget
Create a budget proposal at the beginning of the semester
Budget proposal should include items such as gift cards and raffle prizes, national SHRM memberships,
Create a grant evaluation at the end of the semester
Attend meetings with key CoBA contacts related to our budget and spending
Assist with purchasing CSUSM SHRM merchandise
Manage funds received through graduation stole purchases, t-shirts,etc.
Enter every withdrawal or deposit
Check in with ASI regularly to check balance
Sign reimbursement forms
Assist with planning/coordinating fundraising events
Keep track of member dues (if applicable)
Fill in for president and vice president at SOC meetings ,SLIC events, SD SHRM Meetings and other key meetings and events
Track which of our members are national SHRM members
Help new officers sign up to become national shrm members

Ambassador
Overview: The Society for Human Resource Management is a student-led organization under the College of Business Administration (CoBA) at CSUSM. The Society for Human Resource Management chapter at CSUSM is dedicated to the professional development of students interested in Human Resources Management. We are passionate about helping students achieve their academic dreams and welcome students from all majors and interests.
The goal of the Society for Human Resource Management at CSUSM is to provide our members with a comprehensive understanding of the array of careers within the HR field, analyze critical issues affecting the workforce today, and allow for the real-world application of learned skills.
The Ambassador role is ideal for active members that are not able to commit to a role full-time. Additionally, the Ambassador can shadow specific roles which can aid in succession planning and transition to full board member (more defined role).
Responsibilities:
Be an active participant in SHRM activities (meetings, events, classroom pitches)
Assist board members with tasks as needed
Help promote goals and mission of CSUSM SHRM
Opportunities to learn more about leadership positions
Qualifications:
Strong interest in leading and advancing CSUSM SHRM’s mission
Active participation at society meetings is mandatory
