To visualise a budget and compare it to actual outcome you can use KPI Scorecards.
In below example you see two scorecards.
Team (Activity Scorecard) has two budgets
Phone Call Budget
This budget is compared to Completed Phone Calls
Meeting Budget
This budget is compared to Completed Meetings
Team (Sales Scorecard) has one budget
Team Budget
This Budget is compared to Actual Sales
To create a KPI Scorecard with one budget you need two searches
Search 1 is a Budget Search (In below examle we will use Phone Call Budget search)
Search 2 is a Search for the actual result (In below example we will use Completed Phone Calls search.
When we have both search we can set up a KPI Scorecard where we compare show and also compare the two searches.
Create a New Search Based on the record SC Budget Rows
Search Title - We recommend the name starts with KPI - budget (makes it easier to now what it is used for.
Criterias
In this example we are creating a sales team phone budget. We use two criterias
Budget : Employee is my team (This criteria make sure we include all employees that is part of your team and has a budget setup)
Budget : Budget Type Includes Sales Mgr Team phone budget (This criteria make sure we only get the budget rows belonging to Sales Mgr Team phone budget).
TIPS If you like to set up a budget so that your sales reps can see how they are doing against there own budget then the criteria should change to look like below
Result
In this search we summerize budgeted number of phone calls
In the budget setup for phone calls we used the number field, therefor use the number field and use summary type Sum
Available Filters
Each SC Budget Row has a date.
To make the value from the rows end up in the right KPI Scorecard date column you must add the
Date field here.
Create a New Search for the actual result. In below example the search is based on the Phone Call record.
Search Title - We recommend the name starts with KPI - budget (makes it easier to now what it is used for.
Criterias
In this example we like to fetch all completed phone calls done by the sales team.
We use two criterias
Organizer is my team (This criteria make sure we include all phone calls where employees that is part of your team is the organizer)
Status is completed (This criteria make sure we only get the phone calls with status completed).
TIPS If you like to set up a search to show actual completed phonecalls for the current user/sales then the criteria should change to look like below
Result
In this search we count the nr of completed phone calls
Count nr of internal ID´s
Available Filters
Each Phone Call has a completion date.
To make the value from the rows end up in the right KPI Scorecard date column you must add the
Date field here.
Logged in as an administrator
Navigate
Customizations > Center and Tabs > KPI Scorecard > New
