This Privacy Policy explains how information is collected, used, and protected when you interact with the WhatsApp Appointment Bot ("the Service") operated by Dr. Avneet Sandhu ("we", "us", or "our").
1. Information We Collect When you interact with our WhatsApp bot to book a medical appointment, we collect the following information:
Contact Information: Your WhatsApp phone number and your name (if provided).
Communication Data: The contents of your text messages sent to the bot.
Appointment Details: Information required to schedule your visit, including your preferred hospital location (Algon Hospital or Amritsar Golden Hospital), date, and time.
2. How We Use Your Information We use the collected information strictly for the following administrative purposes:
To facilitate and confirm your medical appointment bookings.
To maintain a temporary, 24-hour conversational context to allow the bot to understand your ongoing requests naturally.
To create a profile in our secure Google Contacts and schedule the event on our Google Calendar.
Note: This Service does not provide medical diagnoses, advice, or recommendations. It is strictly an administrative booking tool.
3. Data Storage and Third-Party Processing Your data is processed and temporarily stored using secure third-party services necessary for the bot's functionality:
Meta (WhatsApp Cloud API): To receive and send messages.
Google Workspace (Apps Script, Sheets, Contacts, Calendar): To process the booking logic, store a rolling 24-hour chat history for conversational context, and finalize the calendar event.
Google Gemini API: To parse your text messages and extract scheduling intentions.
We do not sell, rent, or share your personal information with any third parties outside of the necessary infrastructure providers listed above.
4. Data Retention and Deletion (Your Rights) Your chat history is maintained in a rolling 24-hour cycle to provide conversational context and is routinely overwritten.
Requesting Data Deletion: You have the right to request the complete deletion of your personal data, including your phone number, name, and any saved chat history from our systems.
To request data deletion, please email dr.avneetsandhu@gmail.com from your standard email address and include the WhatsApp phone number you used to interact with the bot. We will process your deletion request and manually remove your information from our integrated Google Contacts, Google Sheets, and Google Calendar records within 7 business days.
5. Changes to This Policy We may update this Privacy Policy periodically. Any changes will be effective immediately upon posting the updated policy.
