Social Room Booking FAQs

The Cedar Shores Social Room is available for booking by any resident of Cedar Shores. 

The person booking the room must be present for the duration of the event, and must take responsibility for the conduct of their guests, and for leaving the facility clean, locked and ready for the next event.

There is no fee for use of the room; however, a $200 deposit is required prior to the event. This deposit must be submitted to the office as an undated cheque (strongly preferred) or cash. It will be applied only toward any cleaning or damage expenses resulting from the event. If no such costs are incurred, we recommend allowing the deposit to remain on file for future bookings. However, if preferred, the deposit may be retrieved after each event and resubmitted as needed.

1. Bookings can be made up to four months in advance on a rolling booking window basis.  (See details below as "Booking Window and Reservation Procedure".)

2. Bookings for Friday evenings, Saturdays, and Sundays are limited to one day per weekend and no more than one weekend booking per month per resident—unless the second or subsequent weekend booking date is still available within 48 hours of the event.

3. You may schedule an event that conflicts with a recurring weekly event on the calendar (such as a Bridge club) if you book your event more than two weeks in advance, giving the group time to notify their members of the change.

   • If you wish to organize a new recurring event that is open to all Cedar Shores residents, contact via email or voice mail as described below. 

Booking Window and Reservation Procedure

Bookings open 4 months in advance on the same calendar day. If that date doesn't exist (e.g., February 30), the window opens on the last day of the month.

How requests are Handled

• Day 1 requests -> Random draw if more than one received

• After Day 1 > First-come, first-served.

This system helps ensure fair access to popular dates.

1. Review the terms of the Booking Agreement as displayed on this site. 

2. Provide a $200 deposit cheque to the office. 

   • (If you leave your cheque undated then you may keep it on file for future bookings as well.)

3. Check the Booking Calendar displayed on this site to confirm that the Social Room is available.

4. Submit the Booking Request displayed on this site . 

   • As noted above, you must be a resident of Cedar Shores and you must commit to attend your booked event for its entire duration.

   • You will be required to agree to the terms of the agreement, and to declare that you have provided a deposit.

5. A Cedar Shores Social strata volunteer will review your request and update the Booking Calendar. They will contact you to confirm your booking or to clarify any issues.

   • Note that the role of site office staff is limited to accepting and holding your deposit. All booking questions and discussions go to the Cedar Shores Social strata volunteer via the email and phone number shown below.
