ONLINE ATTENDANCE
ONLINE ATTENDANCE
This page tells you everything you need to know about online attendance, be you a registered remote attendee, or an in-person attendee taking a break from the venue, and participating virtually for the odd session. In addition, the details below are the fall-back option for all in person attendees if the venue needs to be closed due to any unforeseen circumstances.
Event format
The conference takes place over three days and will be organised into themed panels across parallel tracks for speaker presentations. Speaker slots will last 30 minutes, around 20 minutes for the paper with time after each for Q&As. Keynote presentations span the parallel tracks. These presentations will be around 45 minutes with time after each paper for Q&As. In addition, there is a short welcome session and closing session which again will span the parallel tracks. Full details are available from the timetable.
Online event platform
The platform used to broadcast the conference online will be Zoom Events. This is an additional tool based on the Zoom video calling app you may already be familiar with. If you have never used Zoom before, you will need to make a free account, and we recommend you download the app and become familiar with how it works prior to the event. However, you can also access the Zoom conference in your browser. Zoom have provided a getting started guide for using Zoom in general and creating an account. To repeat, you must have a Zoom account to participate, however the free “basic” plan is enough.
Unlike Zoom calls, for a Zoom Event you must use the Zoom mobile or desktop app to fully participate. Some functionality is available in the browser only, but you will not be able to join a session without using the mobile or desktop app. You should make sure your Zoom app is fully up to date as well, to benefit from improvements to the app experience.
Joining the BSP2022AC Zoom Event and Zoom Registration
On Saturday 27 August you will receive an email with a link inviting you to our Zoom Event. In order to accept this invitation, you will need to link the event to your Zoom account. Zoom call this process “registration”, but it is entirely separate to the process of registration with the BSP where you paid for your place at the conference. This is why the Zoom event states that it is “free”, because there is no additional charge on top of your BSP Registration Fee to complete Zoom Registration. Click the blue “Register” button and follow the instructions. If you are not already logged into your Zoom account, you will need to do so. Once the Zoom Registration is complete, the BSP2022AC event will be linked to your account, and you will be able to participate, once the event starts.
Participating in the Zoom Event
Each conference panel will have its own Zoom Webinar session. You will simply need to join the sessions you wish to attend as they start. The way we recommend you do this is through the Zoom app, whether you are using Desktop or mobile. Please note: you will need to have completed Zoom Registration, discussed above, and signed in to the Zoom app in order for these instructions to work.
To access the Zoom sessions follow the instructions on Zoom Events, and/or below:
The easiest way to participate is using a desktop PC or laptop. Once you have completed zoom registration, you should be able to see a "Join Lobby" button, in the BSP2022AC page. You will find a link to this page in the email from us telling you how to join, and also in your Zoom confirmation email with the title "Order Confirmation for BSP2022AC - Engaged Phenomenology II". Once you have opened and joined the lobby, you will be able to browse events and join events that have started.
The best experience is via the Zoom desktop app, which should be logged in using the same account you used for Zoom Registration. If the browser does not open the Zoom Desktop App for you, click the button with three dots (...) in the top right corner, and then click "Join via Zoom". This will open up your zoom desktop client in a similar way to how a zoom meeting link will.
You may receive a confirmation dialog from your browser asking if you want to open an external application. You should select OK, Yes, Proceed or "Open Zoom Meetings", depending on your browser.
Other methods and further support
The following guides from Zoom are available if you want some additional help:
The Zoom Event Lobby
In the Zoom app, once the event starts, you will also see buttons and sessions referring to the lobby. This is a space where attendees can speak to each other in between sessions.
What will the streams look / sound like?
What the streams look and sound like will depend upon if the presenter is in-person at Exeter or presenting remotely online.
If presenting from Exeter, each of the rooms in the venue is equipped with a camera which will frame the presenter. Each presenter will use a microphone.
If a presenter is using PowerPoint or other slides, they will be screen shared via the zoom call so that the audience can see them.
If presenting online, each presenter will moderate their own view and sound.
Asking a question
Online attendees who wish to ask a question can do so in two ways:
By Microphone. Attendees should use the “raise a hand” function in Zoom, and wait to be called upon to ask their question. If they change their mind, they should lower the hand.
Q&A Button. Attendees can type their question into the Q&A box and a member of the BSP Events Team will ask your question for you. This is the only way to ask a question by text. The chat will not be monitored for questions.
Please note that there will be only ten minutes available for questions, although we will try to give everyone who wants to speak a chance.
Further information about participating in the webinar session is available on the zoom website.
Will I be able to see the papers I miss?
All the papers will be streamed live. So, just like in person attendees, online attendees will need to choose which panels and papers they attend. However, we will be sharing the audio tracks of papers by presenters who have opted in to have their presentations shared in the future as part of the BSP Podcast.
