Brimfield Elementary School PTA Meeting Minutes Tuesday 

September 5, 2023 

Called To Order: 6:00 p.m. - stood for the Pledge of Allegiance 

Attendance: Nikki Husted, Leslie Gibson, Kimberly Hoffman, Jessica Little, Kristine Swartz, Elise Starkey, Amy McNair, Lindsay Prochaska, Megan Andrella, Melissa Knapik, Mary Schneider, Stephanie Baldrey & Barb Flowers - in person and Kristen Porter, Dave Irland, Kristina Terry, Mandy Shaffer, Jocelyn Gazdacko, Kristin Yoho, Alicia Schrenk, Kim Mullaly, & Dallas Covert on Zoom. 

Reading & Approval of Minutes: Minutes from the last meeting were passed out for everyone to read. Motion to approve minutes made by Lindsay , 2nd by Amy - minutes approved. 

Treasurer’s Report: Copies of treasurer’s report were passed out then reviewed with everyone - balances below are as of today; ● Checking - $ 21,364.98 ● Savings - $ 16,887.82 ● Strong Falcons - $ 1,002.15 Income & expenses reviewed - motion to approve report made by Mrs. Swartz & 2nd by Lindsay . - reports approved. 

Old Business: ● Communications - Thank You’s were received Mrs. Mullaly, Dr. Flowers, Mr. Heflinger, for various contributions from the PTA last school year. All were shared with the group. ● Open House: everything went well - popsicles were a big hit ! We purchased approximately 520 & had very few left by the end of the evening. A separate flier advertising Open House will be sent home next year with the school calendar etc. so people don't miss the information. 

New Business: ● Teacher Requests: Dallas Covert is requesting 2 sets of wax clips to hang things on the wall, and a set of dividers for testing. Motion to approve purchase made by Stephanie, 2nd by Mrs. Swartz - purchase approved. ● Budget for the 2023 - 2024 school year was prepared and presented by Jessica Little - copies were made available for everyone to review. Motion to approve budget made by Stephanie, 2nd by Mary - budget approved for this school year. ● Mother Son Dance: The decision was made to host this event again in the spring - hoping that we can draw in more volunteers by then. Currently looking to schedule in March - exact date will be decided at a later time. ● Book Fair: scheduled for the week of November 13th - 17th. More information along with volunteer sign ups will come home as the date gets closer. ● Discussion of a popcorn sale fundraiser - bags sell for $15.00 each & we would make 50% profit. Will try to get a sample to try at our next meeting & look into potentially doing this fundraiser some time this year. ● Santa Shop : Will try to decide dates at the next meeting. ● Membership Drive: There is a competition between all of the Field Local Schools to see which building can get the largest increase in percentage of members this year. Winning building will get the Kona Ice Truck at their school for a day. We are off to a great start !! ● Nikki will try to work on a short video explaining what the PTA does & the different ways parents & family members can get involved. ● Nikki will also speak at the end of the 9 week awards & try to educate more people on what the PTA does. The PTA will also hand out an award to a deserving student(s) - the “Helping Hand Award” at the end of each 9 weeks. ● Apparel fundraiser will officially kick off next week - fliers will be sent home & a link to order online will be shared in the school newsletter & on our Facebook page. The sale will run through the first week in October. ● This year the PTA will work on sending out a quarterly newsletter to keep everyone updated on current and upcoming events & volunteer opportunities.

Motion To Adjourn: Motion made by Mrs. Swartz, 2nd by Stephanie, meeting adjourned at 7:04 p.m. Next meeting is Tuesday October 3rd at 6:00 p.m. in the elementary school library. We had an amazing turnout today & hope to see even more new faces next time !!

Tuesday October 3, 2023 

Called To Order: 6:02 p.m. - stood for the Pledge of Allegiance, then introduction of new people 

Attendance: Nikki Husted, Leslie Gibson, Kimberly Hoffman, Jessica Little, Amanda Cook, Tiffany Brooks, Amy McNair, Lindsay Prochaska, Mary Schneider, Warren Synecky, Stephanie Baldrey, Melissa Knapik & Barb Flowers - all in person. On Zoom we had Jocelyn Gazdacko, Joy Whitehead, Alicia Schrenk, & Melissa Smith. 

Reading & Approval of Minutes: Minutes from the last meeting were passed out for everyone to read. Motion to approve minutes made by Amy McNair , 2nd by Lindsay Prochaska - minutes approved. 

Treasurer’s Report: Copies of treasurer’s report were passed out then reviewed with everyone - balances below are as of today; ● Checking - $ 22,268.82 ● Savings - $ 16,889.64 ● Strong Falcons - $ 1,002.15 Income & expenses reviewed - motion to approve report made by Mary Schneider & 2nd by Stephanie Baldrey - reports approved. 

Old Business: ● Book Fair is officially set for the week of November 13th - 17th. Evening shopping will be available on the 16th during conferences. Monday morning before school there will be a teacher preview. A Sign Up Genius will be created for volunteers & sent out via Remind, Facebook & Member Hub. ● Santa Shop is set for the week of December 11th - 15th. Details will be worked out at a later time. ● Spring Fundraiser Ideas: we discussed doing the yard sale again, or maybe a car show with a 50/50 raffle etc.. Still open to any suggestions - we will decide on this closer to spring. ● Website: Nikki is working on updating the PTA link from the school website with all current & pertinent information. 

New Business: ● Teacher Requests: Jocelyn Gazdacko - 5th grade teacher - requested 2 sets of headphones from Amazon for her students to use with ChromeBooks. They are $40.99 per set on Amazon. Motion to approve request made by Mary, 2nd by Amy - request approved - Jessica will purchase these. ● We received a Thank You letter from Dr. Flowers for setting up & helping with the open house. ● Suggestion was made for us to put out there how the PTA uses the fundraising to support the school. We will start doing this on Facebook, & in the weekly newsletter. The hope is to get more people involved when they see all that we do to support the school. ● Still looking for ways to get more members. We Will set up a table at curriculum night next week. ● Suggestion was made for the PTA to help support Right To Read Week in the spring. We will look into having Mystery Readers come in, buying prizes to pass out etc. ● If we do not win the membership drive to earn the Kona Truck a suggestion was made to pass out snow cones or cotton candy. We do have access to a machine & all of the supplies for cotton candy. We may save this as a special treat during Right to Read Week. 

Principal’s Report: We need more snacks for kids in the office. Jessica will purchase some at Sam’s Club. Motion To Adjourn: Motion made by Stephanie, 2nd by Mary, meeting adjourned at 6:49 p.m. Next meeting is Tuesday November 14th at 6:00 p.m. in the elementary school library

November 14, 2023 

Called To Order: 5:58 p.m. - Zoom meeting tonight Attendance: Nikki Husted, Leslie Gibson, Kimberly Hoffman, Kristine Swartz, Shannon Scalise, Amy McNair, Alicia Schrenk, Amanda Cook, Tiffany Brooks, Lindsay Prochaska, Warren Synecky & Barb Flowers 

Reading & Approval of Minutes: Minutes from the last meeting were posted on Facebook for everyone to read. Motion to approve minutes made by Amy , 2nd by Shannon - minutes approved. 

Treasurer’s Report: Copies of treasurer’s report were shared & reviewed with everyone - balances below are as of today; ● Checking - $ 17,237.57 ● Savings - $ 16,892.41 ● Strong Falcons - $ 1,002.15 Income & expenses reviewed - motion to approve report made by Shannon & 2nd by Amy - reports approved. 

Old Business: ● Santa Shop - volunteer sign ups will be posted soon. We’ve already started shopping and were given a storage unit to use for free for 1 month to store everything safely. ● Kalahari wasn’t able to give us our February dates this year for our fundraiser. I have reached out to Great Wolf Lodge & Castaway Bay also to see if they do a similar fundraiser. Will update at the next meeting. 

New Business: ● Teacher Requests: - Mrs. Scalise : would like a cart on wheels, and boxes & totes for organization. A small paper cutter & small laminating sheets and a cart for lunchboxes. The total for everything was within her yearly budget. Motion to approve purchase made by Mrs. Swartz, 2nd by Amy Mcnair - purchase approved - Mrs. Yoho & Mr. Hunsicker: They would like to be reimbursed up to their yearly amount for any money spent on prizes for their classrooms. After they make a purchase they will submit receipts for reimbursement. Motion to approve request made by Mrs. Scalise, 2nd by Amy - request approved. - School Nurse: She would like some extra pairs of pants that she can give kids when they have accidents. She is not currently in our budget - but we can pull money from Strong Falcons account for this if we need to. We will first ask parents for donations - new or gently used. Requests will be out in the newsletter this week & Nikki will make up a flier that we can send home as well. We will also post requests on facebook. This request will be tabled for now & we will revisit it if we do not get any or enough donations. ● Clothing Donation Box: We are partnering with a recycling company that will deliver a donation box - of no charge to us - to the school. We will get $0.07 per pound of items donated. There is a sensor in the box that will alert the company when the bin needs to be emptied. It should be arriving soon - once it does more info will be passed along to students. We will also advertise it on local township pages too.
