The following positions on the Executive Committee are elected following the procedure described in our Bylaws:
The president conducts the monthly PTA meetings and oversees the local PTA program. The president also meets periodically with the principal to discuss needs, wants and goals of PTA as well as attending monthly council PTA meetings. The president also completes the Local Report to Utah PTA three times a year. Our current president estimates that she spends 5-8 hours a week fulfilling PTA responsibilities (more on weeks when we have events and need more support).
The president elect does not have specific responsibilities, instead he or she shadows and supports the president, steps in for the president in case of absence, and generally prepares to serve as president when their term is complete.
Communications VP is a new position. It would be very helpful to have all the parent communication going through one person so that information is up-to-date. The communications VP would keep the web site up to date, share information on social media, prepare the weekly emails in conjunction with Mr. Dawson, and prepare the monthly printed newsletter.
The Leadership VP is responsible for coordinating and training volunteers. This VP puts together Procedure books for the chairs so they are aware of their responsibilities, then serves as a resource for them.
The Teacher VP acts as the liaison between the teachers/faculty and the PTA board by attending local meetings and sharing communications from/to the other teachers and faculty. The Teacher VP also motivates fellow faculty to advocate for PTA.
The treasurer keeps the checkbook and tracks finances. During the summer, the treasurer organizes books, helps prepare a proposed budget, and attends training. During the school year, the treasurer stops by the school regularly to reimburse and make deposits in a timely manner. Treasurer writes the checks, keeps track of the balance, reconciles with monthly bank statements, and prepares monthly reports to share financial information in PTA meetings. The treasurer also must be on hand when money is collected to prepare deposits. This takes about an hour a week to keep everything up to date. On occasion, the treasurer may also need to set up the online store or other special task that takes more time. At the end of the year, there is a "closing the books" process that takes more time. The treasurer is also a member of the Executive Committee and therefore attends monthly PTA meetings.
The secretary prepares and presents the agenda for monthly meetings. The secretary also keeps track of records such as our unit bylaws, an up-to-date calendar, an accurate record of PTA memberships, etc.
The executive committee also includes the Principal, though that position is already filled and not open for a vote. :)
The executive committee meets monthly to discuss the needs of teachers, families, and students at Bonneville. The PTA has budgeted funds to provide training for executive committee member. There is usually training from the Utah PTA in May and training from the Region (including all PTA's serving schools in Alpine School District) in August.
It is recommended that officers serve for a period of two years, though a commitment of one is also okay.
If you would prefer not to be on the executive committee but are interested in volunteering as a commissioner or chair, the following positions are available:
Room Parent Coordinator
Works with teachers to find willing room parents, then coordinates a 'social' for room parents and teachers to connect and coordinate. The Room Parent coordinator is busy at the beginning of the year as we are getting classrooms set up and room parents trained. After that, the main goal is simply communication. The Room Parent coordinator would pass along school guidelines for parties and things like that. The coordinator also serves as a resource in case room parents have concerns.
Membership Chair
The Membership Chair heads up the membership drive to encourage parents, teachers, and staff to join the PTA. The chair prepares and collects membership forms and works with the treasurer to track dues paid. The membership chair also contacts local businesses to request discounts/coupons as an incentive for PTA membership, then distributes 'goody bags' to new members. This position is time-intensive at the beginning of the year, then slows.
Program Chair
The program chair works intensively for a specific program. It's great to think of something you feel strongly about. There are often traditions that you can follow, but the program can normally be changed according to what the chair would like to do. The chair of a program would come to PTA meetings to share ideas and brainstorm with other members of the PTA. Then, work with the committee of volunteers to carry out the program.
Program chairs are needed for programs such as:
Reflections
Family Activities
Bronco Day
Teacher Appreciation Week
STEAM Fair
Red Ribbon Week
Silent Auction
Summer Kickoff
Parent/Teacher Conference dinner
Storytelling Festival
Student Appreciation Day
Restaurant Nights
Family Engagement Commissioner (attend meetings and advocate for family engagement through programs such as membership, family activities, etc.)
Health and Safety Commissioner (attend meetings and advocate for student safety through programs such as Red Ribbon week, vision screenings, etc.)
Student Development Commissioner (attend meetings and advocate for student development through programs such as Reflections, Storytelling festival, after school program, etc.)
Teacher Engagement Commissioner (attend meetings and advocate for teacher engagement through programs such as Teacher Appreciation Week, Outstanding educator awards, etc.)
