To remain an active member of BEI, each individual must the policies below. Failure to adhere to the policies will result in a discussion with the individual about potential removal from the organization.
Terminology
Excused Absence: Any type of absence from the member's permanent or assigned shift that is communicated at least 48 hours prior to the shift
Exemption from Volunteering: University excuses or emergencies (you must provide documentation such as a note from the Dean of Student, physician, or any type of proof) that is communicated before the shift begins
Unexcused Absence: An absence from the member's permanent shift that is not communicated to the executive board prior to the shift (the absence cannot be communicated with just the Group Leader)
Policy
The minimum volunteer requirement for each member is 1 hour/week.
Each member has a MAXIMUM of 3 EXCUSED ABSENCES for the entire semester.
Exemptions will not count towards the 3 excused absence.
Note: If you use your excused absence for the week, it is still encouraged to take a different shift that week if you would like more volunteer hours. However, this will NOT "erase" the excused absence from your attendance record.
Three excused absence may not be used consecutively.
Should a member need a fourth excused absence, they must follow these steps for approval of a fourth excused absence:
You must contact your Operations Team leader to schedule a time for you to volunteer for one additional "make-up shift" outside of your permanent shift to make up for your absence.
Failure to complete the make-up shift by the end of the semester will result in removal from BEI.
Should a member reach one unexcused absence, they will be contacted immediately to discuss the matter. The executive board will vote on the individual's membership status based on the discussion with the member.
Quiet Week: All members are required to attend their permanent shift during Quiet Week, unless they have an exemption.
Types of Events : Number of each type and definition
One Mandatory Orientation (Returning Member and New Member Orientation meetings will be separate): Meetings that will occur at the beginning of the semester to orient all members prior to volunteering
Three Mandatory General Meetings (GM): Important updates, announcements, and opportunities to learn more about BEI's cause
Social Events: Fun ways for members to get to know each other
Fundraising Events: Opportunities to raise money for related charities, nursing homes, or BEI
Policy
The GMs are mandatory, but if a member cannot attend a GM, they must submit a VALID excuse prior to the GM
It is expected that all volunteers read through all efforts of communication carefully, including emails, GroupMe messages, Newsletters, and text messages. If a message is unclear, please do not hesitate to contact an Executive Board member to ask for further explanation.
Active Membership Definition: Active members are those who are actively volunteering with BEI during the current semester. Failure to follow the policies is cause for potential removal from BEI. If you are removed from the organization, you are encouraged to re-apply next semester.
Volunteering Expectations: During the orientation/training sessions, the Executive Board will explain the standards and expectations when volunteering with residents. We reserve the right to re-evaluate the performance of or remove any member if standards and expectations of the training are not met. Members in question will receive one warning through email from an Executive Board Member and a discussion about the matter will take place.
