Terminology
Permanent Shifts: At the beginning of the semester each volunteer is assigned a permanent shift. This is the shift volunteers are expected to attend weekly.
Instructions
At the beginning of the semester volunteers will fill out a survey titled "Permanent Shift Preferences." This will be sent via email. Using this survey, the Executive Board and the Operations Team build the permanent schedule for the semester.
Outlook is used to communicate the permanent schedule to volunteers. Each volunteer will recieve an "invite" to their assigned permanent shift at the beginning of the semester via an email to their Purdue Outlook account. Once accepted, the shifts will be automatically added to the volunteer's Outlook calender. The Outlook calender can be found on your cell phone by clicking the calender button on the lower right hand side, or on your computer by selecting the calender icon found right below the mail icon. This will allow for the volunteer to recieve weekly notifications of their shift. Once the volunteer has chosen to "accept" the shift, it will automatically be added for every week of the semester that volunteering is occuring. The entire volunteering group will receieve this message, so you can locate your group members names and emails in the "details" portion of the shift block on the outlook calender.
When a shift is "dropped" the Operations Team works to find a replacement. This is done utilizing two parallell methods. The first is a list of open shifts in the weekly newsletter. Any volunteer who wants to pick up a shift is welcome to do so following the procedure below. The second method is done by using the "Permanent Shift Preferences" from the beginning of the semester. Every person that noted they were "available" for the shift needing replacement will be messaged by a member of the Operations Team. This method will be used to find replacements for Group Leaders, Drivers, and Volunteers.
How to Pick Up Shifts
To pick up a shift, the volunteer must email the BEI Purdue Outlook email (bei@purdue.edu) to let the scheduling team know that they would like to pick up the shift. As explained above, those available from open shifts will be notified via text message. The process of picking up a shift is first come first serve. You will recieve a return email notifying you that you were either given the shift, or that it was given to another volunteer.
Volunteer Shift Excused Absence
To use one of your three excused absences, text your assigned Operations Team Leader that you will be using your excused absence. Please communicate your absence no later than 48 hours prior to the shift; the earlier the better.
Next, complete the Google Form that asks for important information about the shift you will be missing.
Volunteer Shift Exemption
If you must be absent for a shift due to a reason that is eligible for an exemption (see Volunteer Policies), send a text message to the Vice President of Volunteering Logistics, Haley. Do not use GroupMe. This must be communicated before the shift in order for the excuse to be exempt. Please send a message about your situation and a picture of your documentation/proof.
If you do not receive a response from Haley within half an hour, please send a text message to the president, Elsa, with your situation and proof.
General Meeting Excuses
All General Meetings are mandatory events for members, as this is the only time that all volunteers are able to meet together as a group. These meetings will primarily serve as a check-in to ensure that volunteering is going well. Secondary purposes include providing games, guest speakers, and other activities.
We ask that all members who cannot attend a General Meeting email bei@purdue.edu to notify the executive team of their absence. This is so that we can ensure that we are touching base with all volunteers, and will be aware of when we have not seen volunteers at meetings. If the absence is a personal matter that you would not like to share, please text Elsa (480-358-5233) and we will not ask for any further details.
To view volunteer hours on BoilerLink, begin by clicking "Sign In" in the upper right corner of the page. Log in with your Purdue Career Account. Click on your initial in the upper right corner of the page and choose "Service Hours" from the menu. This will show your service hour history, and you can alter the timeframe to display how many service hours you have earned during certain periods of time.
Our secretary will log service hours for all volunteers regularly.

New members: New member dues are $12.00 and includes the BEI volunteer uniform.
Returning members: Returning member dues are $8.00 (does not come with volunteer uniform).
Permanent volunteer groups will consist of four members, including one Group Leader and one driver. The minimum number of volunteers in a shift is two and the maximum is five.
Groups will carpool together to the retirement home and back to Purdue. There will be an assigned driver who is RMO1 registered.
President
Description: The President oversees all proceedings of the organization, delegates tasks, plans and curates goals for the Purdue chapter’s growth and improvement, and is the primary correspondent with the nursing homes and the National Brain Exercise Initiative Committee.
Pre-Requisites: must be on the Executive Board for at least 1 year
Vice President of Volunteer Logistics
Description: The Vice President of Volunteer Logistics is responsible for the scheduling of all volunteers, drivers, and Group Leaders, including adjusting the schedule to various cancelations or volunteer absences. The VP of Volunteering Logistics worked directly with the Operations Team.
Pre-Requisites: must have had a position on the Operations Team (preferred)
Vice President of Internal Affairs
Description: The Vice President of Internal Affairs is responsible for overseeing the internal events and processes within the chapter. This position plans and executes General Meetings and Social Events.
Pre-Requisites: 1 semester minimum in Membership Enrichment/Events committee
Educational Director
Description: The Educational Director is responsible for training all volunteers on the proper conduct of volunteering at the nursing homes and overseeing the creation of exercise packets used during each session per week.
Pre-Requisites: must be in the Exercise committee (1 semester min. [preferably 2])
Director of Public Relations & Communications
Description: The Director of Public Relations & Communications is responsible for overseeing all of BEI’s social media and website, creating a weekly newsletter, and ordering T-shirts/merch.
Pre-Requisites: must be a general member for 1 semester
Treasurer
Description: The Treasurer is in charge of all funds related to BEI, including dues, fundraising, and expenses. This position also oversees the Service Committee, all efforts to interact with the community, and monitors traveling to and from nursing homes.

Secretary
Description: The Secretary is responsible for keeping an up-to-date record of all service hours and absences for each volunteer, as well as distributing service hours to each volunteer through BoilerLink.

The Administration Board consists of non-executive leadership positions. It is also referred to as "Admin" or "Admin Board." Every individual on the Administration Board must be accepted as a Group Leader.

Definitions
Committee Chairs: in charge of leading committees; works closely with one to two executive board members who oversee the committee branch, called "Branch Officers," to develop and execute goals
Operations Team: help with the logistics of volunteering sessions and tracking attendance, among other various tasks; works closely with the Vice President of Volunteering Logistics, Secretary, and President
Group Leaders: leads a group of volunteers by setting an example of how to volunteer with residents, giving advice, and generating solutions to issues that arise at a session; tasked with communicating with volunteers, adding/removing additional members to the group, and completing session notes after each volunteer session
Orientation Leaders: assists with orienting new members into BEI and serves as a mentor for a small group of newly accepted volunteers
Exercise Committee
Description: This committee is responsible for the creation of the exercise packets that are implemented each week in the organization.
Time Commitment: 1 hour per week
Qualities we look for: responsibility, strong communication skills, time management, adaptability
Fundraising Committee
Description: This committee is responsible for creating fundraising events for the club, collaborating with other clubs on campus to make dual-club fundraising events, and raising money for organizations like Alzheimer’s Association and local charities.
Time Commitment: 1-2 hours a week (depending on when fundraising events are); meetings every other week to plan fundraising events
Qualities we look for: Creativity, passion, hard-working, strong communication skills
Social Media Committee
Description: We manage all the BEI social media, which includes our Instagram, website, and Facebook, and posting at least 2-3 times per week. Posts include announcements, fun facts about Alzheimer's, getting to know our team, and more! We also design flyers, reach out to other BEI members, and come up with new creative ideas to spice up our Instagram or just BEI as a whole.
Time Commitment: 1-2 hours per week
Qualities we look for: Creativity, diligence, people skills, able to navigate Canva (preferred)

The purpose of these branches is to ensure that each committee is overseen by two Executive Board members, which therefore keeps all of the committees organized and gives future executive boards the freedom to add or remove as many committees as they see fit!
