There is no strict “job description” for a Room Parent. The role can look very different depending on the teacher, grade level, and needs of the class that year. Some teachers—especially in younger grades—may rely heavily on Room Parents for communication, volunteer coordination, and classroom celebrations, while others may need only occasional support.
At a minimum, here are a few things Room Parents should generally expect:
Room Parents typically help coordinate recognition for the teacher and classroom buddy during birthdays, winter holidays, Teacher Appreciation Week (May), and end-of-year celebrations. Some classes choose to organize optional group gifts, while others prefer families to handle gifts individually. If organizing a group gift:
Please make participation completely optional.
Include the entire class on cards or messages, regardless of contribution status.
Be mindful that not all families are able to participate financially.
Room Parents serve as an important communication link between the PTA and classroom families. Occasionally, the PTA may ask Room Parents to help distribute time-sensitive information, reminders, volunteer opportunities, or event updates in order to reduce the communication burden on teachers.
Teachers may reach out to Room Parents first when help is needed for classroom activities, field trips, parties, or special events.
Anyone volunteering in the classroom or on field trips must complete the Wake County volunteer approval process and background check before participating.

Room Parents are also encouraged to help capture candid classroom memories throughout the year. If you attend classroom events, parties, performances, or field trips, please take photos and share them for yearbook use.
Before submitting photos, please check with the front office registrar to get a list of students who should not appear in yearbook or shared images.
Being a Room Parent is a rewarding way to support your classroom while helping families, teachers, and the PTA stay connected. Here are a few practical tips to make the year smoother, more organized, and more enjoyable:
Set up a group email list, text thread, or communication app early so you can quickly reach classroom families when needed.
Keep a simple spreadsheet to track volunteers, donations, classroom funds, birthdays, and important dates.
Work closely with your teacher to understand their communication style, preferences, and classroom needs.
Delegate whenever possible—Room Parents are coordinators, not expected to do everything themselves.
Use tools like SignUpGenius or Google Forms to organize volunteers, snacks, party supplies, and event sign-ups.
Send reminder emails a few days before events to help improve participation and reduce last-minute confusion.
Consider using “Schedule Send” in email to prepare birthday, holiday, Teacher Appreciation, and end-of-year emails weeks or months in advance. It saves time and prevents last-minute scrambling during busy parts of the school year.
Take photos during classroom events and field trips for the yearbook whenever possible.
Thank volunteers often—people are much more likely to stay engaged when they feel appreciated and included.
Most importantly, remember that you are not doing this alone. Partner with other parents, your teacher, and the PTA to help create a fun, welcoming, and memorable year for your class.

3) Volunteer Opportunities
We’ll create sign up sheets to help Mrs. Mehl plan or get support for various classroom activities. With Mrs. Mehl’s permission we will ask for parent volunteers for celebrations or special events. If you are interested in volunteering, please make sure you register with Wake County Public School System (requires annual renewal).
4) Take class pictures for the yearbook
AES does not have a "yearbook club" or editor, so room parents are relied upon to submit photos of the class for the yearbook. Please let us know if you would prefer that your child's picture NOT be shared among the classroom parents or in the yearbook. (In which case we will take pictures of all students during group activities/celebrations, but can add a “photo sticker” over your student’s face for privacy prior to submitting to PTA/Yearbook.) You can also upload your own photos to the PTA Yearbook page.
5) Disseminate PTA News
Be on the lookout for us to encourage your participation in PTA school-wide activities. The PTA website has amazing information and we highly encourage you to sign up for the AES PTA Friday Bulletin if you haven't already.
6) Encourage parent involvement, student bonding, and a safe space for all.
