These policies are here to ensure a smooth, intentional experience for all clients.
The Analog Letter Studio™ values privacy, transparency, and the integrity of handcrafted analog work.
Terms of Service
By commissioning The Analog Letter Studio™, you agree to the following terms:
1. Client-Provided Text
All content must be submitted typed, final, and free of errors.
I do not edit, rewrite, or interpret messages.
The Studio handwrites exactly what you submit.
2. Voice Memo Policy
The Studio does not accept raw audio or voice memos.
Clients who prefer speaking their message may use an approved transcription tool and must review and finalize the text before submitting.
A confirmation checkbox is required.
3. Signature Policy
I do not imitate, recreate, or write client signatures.
All closings use a handwritten printed name (e.g., Warmly, John Smith).
Letters are not returned to clients for signing.
All handwritten pieces are mailed directly once completed.
4. Inserts & Enclosures
Envelopes contain one handwritten note only.
No inserts (photos, business cards, printed materials) are accepted.
This maintains the Studio’s analog simplicity and protects workflow integrity.
5. Accuracy of Addresses
Clients are responsible for providing complete and accurate mailing addresses.
The Studio is not responsible for delays or returns caused by incorrect or incomplete addresses.
6. Right to Decline Projects
The Studio may decline commissions that:
fall outside the scope of services
contain inappropriate or harmful content
require rushed or high-volume output
conflict with ethical guidelines
This ensures quality, safety, and consistency.
Your correspondence is treated with absolute discretion.
1. Message Privacy
Typed submissions are used solely to complete your commission.
Drafts and message files are deleted after project completion.
Handwritten originals are not scanned, digitized, or archived beyond your watermarked PDF record.
2. Digital Documentation
You receive low-resolution, watermarked PDFs of your handwritten pieces.
These may not be edited, printed, scanned, or reproduced.
3. Mailing Information
Addresses are used only for mailing the commissioned piece.
Contact information is never sold, shared, or used for marketing without permission.
4. Data Retention
The Studio does not store client addresses or messages long-term.
Transcripts or uploads are deleted once the piece is mailed.
5. Confidentiality
All correspondence is handled with respect and nondisclosure.
I do not reveal client identities, messages, or projects unless expressly permitted.
1. Once writing begins
Because each piece is handcrafted, all sales are final once handwriting has started.
2. If the client delays submission
Clients are responsible for providing complete text in a timely manner.
Delays in submitting text do not qualify for refunds.
3. Incorrect Addresses
Refunds cannot be issued for mailing delays or returns due to client-provided address errors.
4. Studio Errors
In the rare case of a Studio error (incorrect ink, format, or paper), the piece will be rewritten and remailed at no cost.
5. Cancellation Window
If you need to cancel before writing begins, please contact the Studio within 24 hours of submitting your form.
1. Mailing Method
Single notes are mailed via USPS First Class unless otherwise requested.
Priority Mail upgrades may be available for an additional fee.
2. Mailing Timeline
Most pieces are mailed within several business days.
Timelines for subscription clients follow their agreed-upon cadence.
3. Proof of Mailing
Clients receive a timestamped mailing receipt or confirmation.
4. No Return Mailing
Letters are mailed directly to recipients.
They are not returned to clients for signing or review.
5. Mail Handling
Once USPS accepts the item, delivery times and handling are outside the Studio’s control.
