Introduction
Thank you for your interest in the Alvarado High School Choir Council. The Officers of the Choir Council have a tremendous duty to serve the members of the choir and to make the choral program the smoothest, most efficient organization it can be. The directors are looking for qualified individuals who will lead all members of all choirs by example and who will tirelessly work to ensure the continued high standards of excellence in the choir.
General Requirements
Choir Council Officers Must:
Be a current member of choir AND enrolled in choir for the next school year.
Follow the standards in the AHS Choir Handbook.
Participate in required activities and performances.
Attend regular officer meetings and accomplish all duties and assignments given, as well as those defined by the office.
Attend all rehearsals, dress rehearsals, and be prepared with music and a pencil.
Pass all classes, including Pre-AP, AP, and Dual credit classes.
Be a positive role model of the AHS rules and not have any in school suspensions for any reason.
Any officer who fails to fulfill his/her/their duties and obligations to the choir council as described above can be removed from office by the directors.

Election Process
Applicants must:
Complete and Submit the Officer Nomination Form on the choir website.
Schedule an interview with Mr. Grim and Mrs. Haywood. The current choir council president may also be in attendance.
Attend the speech taping. The speeches will be shown in all choir classes on the day of elections. Time limit for speeches is 30 seconds. Videos will be shown in the order they were submitted.
Deadlines
Applications available: 05/12/2025
Applications due: 05/15/2024 end of day.
Elections are online and are open until Tuesday, 05/20/2024, end of day.
Term
Officers will serve one school year, beginning immediately after graduation.
Officer Duties
All Officers
Ask the directors if they need anything the afternoon before an event/concert and at the conclusion of an event before they leave an event.
Assist with work in the Choir Room at least 30 mins a week either before school, after school (except Fridays), or during Study Hall (WIN).
Ensure that the Choir Room, Practice Rooms, and Uniform Rooms are tidy.
Director(s) will create a rotation of which council members check each weekly. (Updated)
Be positive and feel like they are the guardians of the Choir.
Foster an attitude that the Choir Room is a great place to hang out.
Attend EVERY choir event.(Updated)
Help all Choir members feel welcome and part of the Choir Department.
Set up StudentSquare notifications to receive texts.
Lead the Choir by example.
President: Official student representative for the AHS Choral Program
Conduct all choir council meetings.
Create and present the agenda for the monthly choir council meeting
Submit to the directors for approval the day prior.
Follow-up weekly with other choir council members concerning the fulfilling of their duties.
Delegate jobs to other officers and choir representatives.
Work closely with the directors and Booster Club President to ensure productive communication and cooperation between the two groups.
Plan social activity and service projects (with all VP’s help as needed) (Updated)
Act as the primary representative for the choir.
In consultation with the directors, choir council, and members of the booster club, approve all temporary committees and individual assignments made by the choir council.
Administrative Vice President: Assumes duties of the president in his/her/their absence.
Responsible for all public advertisement and public relations on behalf of the AHS Choir Program (all choirs) to parents and community. They may appoint individuals to form committees to assist them as the need arises.
Ensure with directors that all choir council’s after school planned activities have the proper facilities reservation paperwork completed.
Publicize all choir events and birthdays (with secretary) to the students on the bulletin board.
Assist directors with editing photos for posting to the IG and Facebook Choir Pages.
Assist President as needed with planning social activity and service projects (Updated)
Serve as Uniform Chair (with Choirmaster) and coordinate with Library VP ensure uniforms are properly checked in, checked out and maintained.

Handle V lower voice uniform prep for concerts
Choir Master Vice President: Responsible for managing attendance for ALL rehearsals/concerts
Take attendance daily for class rehearsals, dress rehearsals, and concerts
Create a sign in sheet for each choir activity and concert.
Assign student leaders from each section to check for appropriate attire for ALL performances (choose at your discretion)
Assist President (and Admin VP) as needed with planning social activity and service projects
Serve as Co-Uniform Chair (with Admin VP) and coordinate with Library VP ensure uniforms are properly checked in, checked out and maintained.
Handle JV uniform prep for concerts
Logistical Vice President: Responsible for setup/logistics of ALL choir events and performances
Chair the Setup Committee and coordinate Choir Representatives and volunteers to set up and tear down before and after events and concerts.
Assist directors with bus lists for each event and make sure each bus is supplied with all necessary non-medical supplies. (coolers, instruments, etc.).
Check in the Monday of week of every choir event to help with list.
Assist with placing signs for TMEA SSC Auditions and AHS/AJH performances in the auditorium.
Assist with formation of choir and logistics of who leads on and off during any performance.
Assist directors with solo and ensemble travel needs
Library Vice President: Handles all things related to the music library and printed music
Create a database for all music in the music library.
Maintain choir library.
Train and coordinate Choir Representative(s) to ensure library items are properly checked in, checked out and maintained.
Create a master folder of music for each choir for the year.
Number measures for all performed UIL (and clinic), and solo and ensemble music.
Check in end of January and end of March to complete this task
Serve as Co-Uniform Chair and coordinate with Admin VP to ensure uniforms are properly checked in, checked out and maintained. (Updated)
Handle V upper voice uniform prep for concerts
Secretary: Handles keeping minutes and also keeps up with bulletin boards
Keep minutes from Choir Council and Choir meetings.
Write thank you notes to those who assist the choir.
Keep a binder of all programs for the school year.
Assist with creating and printing the choir programs.
Post Student Birthdays on the choir calendar.
Assist Historian with counting and cataloging music. (Updated)
Treasurer: Handles all announcements for money due and tracks turned in money
Work with the directors and/or Booster club liaison to collect and distribute choir spirit wear items.
Keep track of money turn-in forms and sizing for T-shirts, etc…
Helps with handing organizing all ordered items
Reminds students of money needing to be collected (get list from director)
Assist in WIN period with reminders to JV Treble Choir
Remind Upper/Lower Voices in Varsity of money needing to be turned in all choir events
Assist Library VP with counting and cataloging music weekly. (Updated)
Take care of cutting things
Historian (2): Captures photos of all choir events
Keep a record of all AHS Choir Department activities for the year through photos, articles, journals, etc.
Create Google Drive collection of all photos (Start in August with Pep Rallies)
Update Google Drive every week! (Updated)
Write a brief summary of all choir previous activities for the monthly newsletter.
Prepare a media presentation for the banquet that reflects the work of all the choirs during the year.
Assist with preparation of the senior video which will be shown at the banquet.
Maintain the choir bulletin board in the choir room with the Admin VP
Maintain the college audition board in the choir room and with posters received from directors
Choir Representatives
Choir Representatives have numerous responsibilities. Primary duties of the officers are to:
Serve as members of the Uniform, Set-Up and Library Committees as such:
Maintain uniforms for their choir and assign/collect replacement parts if a student is missing pieces. Keep in close contact with the Administrative Vice President for this duty.
Assist in the set up of concerts and all other events. Keep in close contact with the Logistical Vice President for this duty.
Maintain and oversee music distribution for their choir. Keep in close contact with the Library Vice President for this task.
Decorate the Choir Bulletin Board and the Choir Council Board.
Put posters up in the school to advertise choir concerts and other choir sponsored events.
Assist with ushering at choir shows and concerts.
Officer Discipline
If an officer does not complete their duties or acts in an inappropriate manner, the following consequences will result:
First offense – meeting with the directors
Second offense – probation for 3 weeks
Third offense – dismissal from the position; Officers will vote to reappoint another officer
Immediate dismissal may occur if you do not represent the AHS Choir in a positive manner, or if you treat a student or choir parent, or the directors with disrespect or dishonor them in or outside of school. AHS Choir Officers are held to a very high standard.
Termination of an Officer
If at any time during his/her office an officer fails to live up to the standards of the AHS Choir Handbook or his/her choir expectations such as:
failure to attend rehearsals,
failure to be prepared
failure to participate in required activities
failure to attend officer meetings
failure to pass all classes including Pre-AP and AP classes
Being placed in in school suspension for any reason including tardies
general failure to fulfill the responsibilities of the office
The director(s) have the authority to remove the individual from the office. A replacement will be appointed by the director after consulting with the officers.
