Troop Level Volunteers:
-National Day of Service Lead:
Works with Service Chair to implement a Troopwide Service Event for AHG's National Day of Service. The National Day of Service is the 3rd Saturday of September every year. This means that the event needs to be planned during our "break" when our Troop Year is not in full swing. Position is best fulfilled by someone who already participated in one year of Troop Programming and is planning to participate for the next Troop Year. -Spring Troop Camp Out Lead:
Responsibilities:
• Pray for the camp experience, Adult and Girl Member attendees.
• Serve as the main point of contact for all camp communication and liaison for the camp venue.
• Recruit, select, train, and lead a team of AHG Volunteers who will serve on the Camp Ministry Team, including securing a Camp Health & Safety Lead.
• Ensure all Adult Members are trained for their role. (This involves simply following up with them.)
• Equip Camp Ministry Team and volunteers to effectively implement AHG Health and Safety Policies and Guidelines. (This involves pointing out where in AHGEquip they need to go.)
• Champion High Adventure and other outdoor activities at camp (if possible) while ensuring adherence to the AHG Health and Safety Policies and Guidelines at all times.
• Serve on and collaborate with Camp Ministry Team to create and gather and distribute all documents, resources, and supplies needed for camp.
• Work as a team with volunteers to create a safe, fun, meaningful, and appropriate program of activities and events.
• Collaborate with the team to ensure a quality experience for Girl Members.
• Champion involvement of the Girl Members in planning and implementation of camp programming and activities.
• Work as a team with Camp Ministry Team and volunteers, providing coaching, encouragement, and admonishment as needed.
• Attend Camp Ministry Team meetings and share updates on the budget, income, and expenses.
• Collaborate with the Camp Ministry Team, and Troop Treasurer in establishing the camp budget.
• Maintain and keep accurate records for a Troop checking account or sub-account based on guidelines from the Charter Organization.
• Foster clarity and openness by communicating and making available camp financial reports to the Charter Organization, Camp Ministry Team, and families upon request.
• Consider and respond to the needs of diverse populations, cultures, denominations, and special needs in the camp environment. Foster respect and embrace differences.
• Coordinate with AHG, Inc. in the Camp Review Process
Commitment Length: 1-year renewable by mutual agreement.
-National Day of Prayer lead:
Works with Social Events Chair to implement a Troopwide Prayer Event for the National Day of Prayer. The National Day of Prayer is May 1, 2025. This is a National event, not an AHG specific event, and as a Christian organization with a strong emphasis on patriotism, we want to join with other Christians in our Nation to pray for our Nation together. -Year Theme Patch Event lead:
Works with Social Events Chair and Troop Treasurer to ensure proper budgeting for a Troopwide VISION Patch Event. There are snack suggestions, theme suggestions, craft suggestions, activities, learning information, devotion and discussion prompts in the AHG Program Year Theme Patch Program document in AHGResource (which we can't replicate here due to copyright concerns).
Adult Members:
-Snack Manager:
A registered Adult Member who attends every meeting, prepared with a snack for the whole Troop to share during Snack Time after we do our Closing Flag Ceremony to end our Troop Meeting. The Snack Manager will ideally be acutely aware of any dietary restrictions or allergies and will provide, for reimbursement, all snacks, beverages, and disposable wares necessary to facilitate the Girls enjoying Snack Time. This person will set up Snack Time during our Closing Flag Ceremony.
Yearbook Manager:
A registered Adult Member who takes pictures during events and activities, receives pictures from other attendees, and organizes them for our Troop Yearbook. The Yearbook Manager will ideally participate in activities and events so as to capture those memorable moments and quotes throughout the year for us to look back on.
-Community Connection Manager:
A registered Adult Member who takes pictures during events and activities, receives pictures from other attendees, and organizes them for posts to our Troop Facebook page with the goal of promoting our Troop and developing a good reputation in our community. This person helps create flyers as needed and spread awareness of American Heritage Girls in our community. Their main focus is on community awareness and outreach. The Community Connection Manager would ideally work hand-in-hand with the Service Chair as well, seeking opportunities to get our Troop out in the community and develop a good reputation.
-Unit Manager(s):
A registered Adult Member who works with the Unit Leaders and Assistant Leaders to help out during Unit Time as needed. Sometimes the Girls need reminders to quiet down or help to get refocused. Those extra hands to cut things, or press items as they are glued or hold them while they are screwed together really helps things to move along! We can always use help with clean up too.
Registered Troop Volunteers:
-Service Chair:
Responsibilities:
• Seek input from Girl and Adult Members to identify service opportunities that the Girls are passionate about.
• Collaborate with the Troop Board to serve the Charter Organization at least once annually.
• Plan age-appropriate service projects allowing every girl the opportunity to serve.
• Facilitate opportunities for Girls to lead service projects.
• Network within the community and other ministries to identify new service opportunities.
Commitment Length: 1-year renewable by mutual agreement.
-Social Events Chair:
Responsibilities:
• Seek input from Girl and Adult Members to identify social opportunities that the girls are eager for.
• Collaborate with the Troop Board and Advancement Chair to organize 3 Troop ceremonies per year.
• Plan age-appropriate social events allowing every girl the opportunity to lead.
• Work with Troop Treasurer to ensure social events stay within the Troop budget.
• Network within the community and other ministries to facilitate opportunities for Troop growth through fun social events and community outreach.
Commitment Length: 1-year renewable by mutual agreement.
-Troop Registrar/ Membership Chair:
Responsibilities:
• Initiate registration invites for new Girl and Adult Members and assist them in completing registration (this may require contacting families going through registration to follow through).
• Assist returning Girl and Adult Members in completing and updating registration (this may require contacting families going through registration to follow through).
• Deactivate Girl and Adult Members who do not return to the Troop.
• Ensure all Adult Members complete the necessary steps for registration including the background check and KEYS to Child Safety Training (this may require contacting families going through registration to follow through).
• Organize and track completion of additional forms for Adult and Girl Members including but not limited to:
o Troop Meeting Permission Slip
o Health and Medical Form
o Swim Test Classification Form
o High Adventure Medical Form
o Request for Administration of Medication Form
o Troop Transport Form
• If needed, assist the Troop Board in responding to Member Placement requests through AHGfamily.
• Follow up with new families and Girlmembers to ensure completion of the Joining Award.

-Advancement Chair:
Responsibilities:
• Organize and implement a plan to track all Girl Members’ achievements including Badges, Patches, and Level Awards through AHGfamily.
• Work with parents and Girlmembers to ensure understanding of Level Awards and encourage participation.
• Work with the Unit Leaders to accurately track Girl records.
• Assist in scheduling Level Award Board of Review.
• Track Adult Member recognitions and awards.
• Work with the Troop Board to order insignia in preparation for the Troop’s Court of Awards Ceremonies.
• Work with the Troop Board and Social Events Chair in preparation for the Troop’s ceremonies throughout the year.
Commitment Length: 1-year renewable by mutual agreement.
-Fundraising Chair:
Responsibilities:
• Collaborate with the Charter Organization and Troop Board to set fundraising goals and select a maximum of three fundraisers throughout the Troop Year.
• Communicate with the Charter Organization for fundraiser approvals.
• Utilize AHG’s finance and fundraising resources to develop fundraising best practices for the Troop and include the Troop Treasurer throughout the process.
• Vision cast to families and girls about fundraising to build engagement and excitement.
• Track and organize fundraising details including sales and progress toward fundraising goals.
• Work with the Troop Treasurer to collect fundraising monies.
• Report fundraiser results to the Charter Organization and Troop Board.

• Connect with Unit families to cultivate relationships by creating a welcoming environment and communicating regularly.
• Empower Girl Members to lead in an age-appropriate manner by providing leadership opportunities.
• Be an example in service by participating in at least two service projects annually.

The Charter Representative promotes the growth and development of the Troop and its implementation of the AHG Program. This role ensures faith is woven throughout the Girl Member's experience, providing them opportunities to grow in their Christian Faith.

• Serve as the liaison between the Troop Board and the Charter Organization, facilitating consistent communication and providing Charter assistance to the Troop when needed.
• Encourage the Troop Board and Troop Ministry Team to continue growing in their relationship with Jesus Christ.
• Lead the Troop Board in developing the Troop vision.
• Promote the Troop and its activities within the Charter Organization keeping the Charter Organization informed of Troop activities.
• Provide input on the selection of AHG Faith Awards and Girl Member’s spiritual development.
• Collaborate with the Troop Board to develop and implement effective recruitment of Adult Members.
• Ensure the implementation of a thorough and robust Adult Member selection process including but not limited to application review, applicant interview and reference checks.
• Approve all Troop Adult Members and, if deemed necessary, remove a volunteer from Troop participation.
• Ensure all Adult Members in the Troop are fully registered, including the completion of AHG’s KEYS to Child Safety Training, successful completion of a background check, and payment of member registration fees.
• Coordinate with the Troop Board to ensure deadlines are met: o Charter Renewal o Registration o Program Support Fee o Troop Trip Notification approval
• Collaborate with the Troop Treasurer to determine how finances should be set up and maintained.
• Collaborate with the Troop Board to develop annual policies and documents:
o Troop budget
o Troop Policy Orientation Packet
o Annual end of year survey
• When needed, lead the Troop through Biblical conflict resolution.
• Serve as a voting member of AHG, Inc. o Prayerfully consider submitting qualified candidates for nomination to the AHG National Board of Trustees and annually vote for the slate of candidates.

• Show genuine care for families and girls (i.e. contact families when a member is absent for two consecutive meetings without an explanation, share concerns and joys, and know each girl by name).

Support the Mission of AHG to build women of integrity by stewarding the Troop Budget and financial health of the Troop. Promote the growth and development of the Troop and its implementation of the AHG Program to provide opportunities for Girl Members to grow in their Christian faith.
Reports To: Troop Coordinator
Responsibilities:
General:
• Pray for the Charter Organization, the Troop's Adult and Girl Members, and the AHG Ministry.
• Model spiritual leadership by intentionally including prayer and Scripture into all that the Troop does.
• Collaborate with the Troop Ministry Team to plan the annual Troop Calendar.
• Adhere to AHG Health and Safety Policies and Guidelines.
• Participate in all Troop Board meetings.
• Participate in regular Troop Ministry Team Meetings, Troop meetings, activities, and events.

o A line item on the Charter’s budget
o A separate checking account using the Charter Organization’s Employer Identification Number (EIN)
• Facilitate open communication and seek clarity from the Charter Representative on the frequency of needed financial reports for the Charter Organization.
• Collaborate with the Troop Board to establish the annual Troop budget in conjunction with the Troop Calendar.
• Incorporate a fundraising plan as part of the budget to keep AHG affordable for all families.
• Coordinate with the Troop Board to ensure payment deadlines are met. This includes:
o Charter Renewal
o Registration
o Program Support Fee
• Share updates on the budget, income, and expenses at Troop Board meetings.
• Maintain and keep accurate records for the Troop finances.
• Dialogue with the Troop Ministry Team about available funds and provide coaching in managing funds as needed.
• Foster clarity and openness by communicating and making available Troop financial reports to the Troop Ministry Team and Troop families upon request.
• Support the Troop families by working with and finding solutions for those who have outstanding balances.
