Grantee Portal Support Hub
Getting a Grantee Portal User Account
Authorized representatives on a grant will be assigned a Grantee Portal account prior to the start of the grant. Program contacts will be authorized for program management data and Fiscal contacts for fiscal management data. Legal signatories will be authorized for both.
We recognize that for some grantees, Program and/or Fiscal contacts should have full access to grant management outside of their specific function. If you find the level of access you need for your grant has changed, please complete the Authorized Representative & Portal User Update Form so we can update your Grantee Portal permissions accordingly.
To provide Grantee Portal access to new or additional staff members, an existing Grantee Portal user should complete the Authorized Representative & Portal User Update Form. Users can have one of the following types of access to the Portal:
Full Access
Individuals with full access permissions will be able to view and edit all information and forms in the Grantee Portal. Please note that budgets are listed by line item summary without broken out costs. OneStar recommends Full Access for Legal Authorized Signatories, Primary Program, and Primary Fiscal contacts.Access without Budget
Individuals with access without budget permissions will be able to view and edit information and forms in the Grantee Portal EXCEPT program budget, PERs, and budget changes.
When your User Account is setup, you will receive an email with instructions to set your password. If you do not receive an email in your inbox, please be sure to check your spam folder. You may also contact Joshua Winata (josh@onestarfoundation.org) for assistance in setting up your account or resetting your password.
Current Grant contacts will automatically roll over to the next grant year. During Pre-Award Risk Assessment, you will be reminded to review Grant Contacts and will have an opportunity make any additions, update, or removals.
Portal Home Page and Overview
Upon login to the Grantee Portal, you will be directed to the home page. The home page includes quick links to resources and eGrants, the ability to access your grants, and information to contact OneStar and/or request support.
Viewing Grant and Program Information
To access your grant, click on Grants in the top blue bar in the Portal. This will bring you to a list of your grants, both current and past. Simply click into the grant you would like to view.
Please note the Grantee Portal does not contain grant data prior to the 2020-2021 program year. If you would like to reference grant data from years prior, please reach out to your Program or Grants Officer.
Once you have selected the grant you would like to view, you will be brought to the grant record page. This page will allow you to view your grant details as well as perform various actions and tasks related to your grant.
On the top right of the grant record page, you will see buttons that will allow you to complete various tasks.
New Amendment: Use this button to initiate the grant amendment process. You can request various amendment types including performance measure changes, slot conversions, service site changes, and more.
Authorized Rep Update: If you need to add, remove, or edit any contacts on your grant you can use this button to do so.
Mid-Year APR: From here you will be able to fill out your Mid-Year APR responses. This form will not be available until the Mid-Year APR process has been initiated by your Program Officer.
End of Year APR: Use this button to begin your End of Year APR at the conclusion of the grant year.
Below these buttons, you will find your grant information. The bar at the top contains key highlights including your grant name, your Program and Grants Officers, and your grant start date.
On the Grant Details tab, you can scroll down to view a summary of essential grant details from your federal application.
Each tab on the grant record page can be used to access specific information about your grant. You can toggle between these tabs as needed to access different information.
Grant Details: General grant information from your federal application. You can see your funding type, reimbursement type, what year of your grant your program is in, current MSY configuration, and your Program and Grants Officer. This tab can be considered the landing page for your grant.
Budget: View budgets, submit PERS, and make budget changes. Please see the Fiscal page of this site for more information on using this tab.
Performance Measures: Snapshot of your performance measures, including metric and target values. Please see the Program page of this site for more information.
Monitoring: Track your monitoring activities including the status and finalized reports. To view the details of a specific monitoring activity, simply click the Grant Monitoring Name. Details include the status of the monitoring activity, the start and end date, and any files associated with the monitoring (e.g. final monitoring report).
Amendments: View any amendment changes to your grant, check amendment status, or view approved amendments. Please see the Program page of this site for more information on how to view and submit amendments.
Grant Contacts: Lists all contacts associated with the grant, both former and current, and what role they hold. It is recommended to review this tab before submitting an Authorized Representative Update form. To view whether contact information for a specific contact is correct, first click on the Grant Contact: Grant Contact Roles Name. From there you can click on the Contact which will show you both the email and phone number we have on file.
Files: Access and download important files associated with your grant including your original application and your Notice of Grant Award.
If at any point you need to navigate back to the main grant page, find the field called Grant on the screen and click the link. This will bring you back to the Grant Details tab.
APRs and AFRs
To complete your APR or AFR, find the appropriate button in the top right of your screen when looking at Grant Details. This will open a form in the new window.
Forms will be inactive by default. Your OneStar Program or Grants officer will notify you when the forms are active and ready to be submitted.
Upon completion of the form, you will receive a copy of responses in your e-mail. Certain responses will be stored in the Grantee Portal for you to reference.
