The Executive Coordinator fulfills the duties of being the right-hand man to the Executive Board officer; he/she is responsible for assisting, reminding, and organizing the President's responsibilities, tasks, and schedule, as well as acting as a stand-in whenever the officer in charge is not available. He/she shall also work and collaborate with the President's Executive Committee/s.
The Executive Associate acts as a deputy to the Executive Board member; he/she is responsible for assisting, reminding, and organizing the President's responsibilities, tasks, and schedule, as well as acting as a stand-in whenever the officer in charge is not available. They serve as a support role, working alongside the Executive Coordinator or assisting the Executive Board officer with smaller tasks, documentation, and groundwork.
This committee shall create, keep, and maintain an atmosphere of peace, kindness, helpfulness, and happiness between and among members of this organization, whether in cases of conflict.
This committee oversees the promotion of the organization and its projects and advocacies. It also maintains the social networking accounts of the organization for proper information dissemination and endorsement of the programs of the society.
This committee is responsible for maintaining relations with organizations, and institutions outside the University. It is also in charge of the coordination of the society's projects and programs with possible partners for sponsorship.
This committee serves as the society's premiere team that will focus on the outreach and community development projects of the organization. As we aspire to bring back the active participation of the organization in various Community Development activities, the Community Development Committee, in cooperation with the Community Development Officer from the executive board, will oversee the proper preparation, execution, and documentation of Community Development projects of the organization.
This committee keeps the records, important documents, and minutes of the meetings of the organization; takes charge of the press releases of the society, and as well as the maintenance of the organization's official email address and official communications. This committee is also in charge of the processing of the organization's letters.
This committee oversees the promotional materials and advertisement paraphernalia of the society. It works in cooperation with the Documentation committee in the production of the organization's AVPs. It also works with the marketing committee in maintaining the aesthetic quality of the organization's social media accounts.
The committee oversees the preparation of the budget and governing the finances of the society. It is also responsible for the collection of membership fees and dues; undertaking fund-generating projects; securing the funds of the organization; monitoring the disbursement of funds with the approval of the President and the Treasurer, in accordance with the approved budget; and assisting the Treasurer and Assistant Treasurer in the preparation and submission of financial reports to the President at the end of each month.
This committee ensures the quality work output of the organization by using evaluation tools to improve the organization's projects and activities. The committee is supervised by the organization's Auditor and in close coordination by HRMS Secretary who is responsible for auditing each officer's productivity and effectiveness through their well-fulfilled duties and responsibilities.
This committee oversees the proper documentation of the events of the organization. It monitors pre-events, event, and post-event execution of the organization's projects. It works in cooperation with the Media and Creatives Committee and Marketing Committee in producing the organization's promotional videos and Audio-Visual Presentation.
The Physical Arrangement and Technical Support Committee will be in-charge in supporting the organization that is deemed necessary in carrying out the projects, program, and activities such as if done virtually, the arrangement of the online platform, and technical support during live or pre-recorded events (through close coordination with the Project Head and sub-committees) but if done physically, will reserve the venue (through close coordination with the HRMS Secretary), facilities and equipment requisition, and material acquisition. This committee will also be responsible for leading its sub-committees for a smooth flow of events.

Talents Committees
This committee shall be responsible for leading talented hosts and performers for the events and intermissions which may be held virtually and/or physically by the organization.
Operations Committee
This sub-committee shall serve as the manpower of the events: facilitators, (e-)runners, and the production team for a smooth implementation of the events.
Technical Committee
This sub-committee shall organize and assist in the technical aspects and support for the events, like live streams, recordings, and OBS (Open Broadcaster Software).
This committee oversees organizing HRMS' annual program, the Thomasian Hospitality Cup, and enables the organization's members to discover their potential and hone their skills by gaining them through competitions and activities, especially for Hospitality Leadership Majors. The committee is also responsible for giving assistance to those students who represent the organization in various competitions outside the university.
This committee oversees organizing HRMS' annual program, the Thomasian Culinary Cup, and enables the organization's members to discover their potential and hone their skills by gaining them through competitions and activities, especially for Culinary Entrepreneurship Majors. This committee is also responsible for giving assistance to those students who represent the organization in various competitions outside the university.
This committee will be encouraged to accomplish research on OSA-determined topics and agendas in relation to the Hospitality Industry. The finding and outputs of the research will be shared and used by the organization. This committee will also be in charge of making surveys for the Hospitality Management Department as well as providing survey reports and recommendations for the organization.
Recruitment 101
The process of becoming a member of the UST Hotel and Restaurant Management Society (HRMS) follows established eligibility guidelines, prerequisites, fees, and durations.
Eligibility Criteria and Prerequisites:
Only bonafide students at the University of Santo Tomas, specifically those enrolled in the Hospitality Management program, are eligible to be members of the UST HRMS. These students, once enrolled, automatically become members of the UST HRMS organization. This criterion ensures that members share a common academic background and interest in the field, fostering a community of like-minded individuals.
Membership Fee:
For the privilege of HRMS membership, there is a nominal fee of 250 pesos per student for the current academic year. This fee contributes to the sustainability of the organization and helps fund various activities and initiatives that benefit the members.
Duration of Membership:
Upon admission, members commit to assuming and performing the functions, duties, and responsibilities associated with HRMS. It is important to note that the membership is valid for one academic year, requiring members to renew their commitment annually.
Membership Renewal:
An additional feature of HRMS membership is the automatic renewal when students enroll for another term in the Hospitality Management program. This seamless process reflects HRMS's commitment to fostering long-term relationships with its members, ensuring that they remain an integral part of the community throughout their academic journey.
Duties and Responsibilities of Member Organizations (Article IV):
Article IV of the HRMS constitution outlines the duties and responsibilities expected from member organizations. These include:
Respect for the Articles of Association - Member organizations are duty-bound to respect, observe, and honor the Articles of Association, adhering to the principles and guidelines that define HRMS.
Participation in HRMS Activities - Member organizations are encouraged to actively participate in activities organized by HRMS, fostering a sense of community engagement and collaboration.
Submission of Necessary Documents - Member organizations are required to submit all requested documents deemed necessary by the HRMS Executive Board. This ensures transparency and facilitates effective communication within the organization.
Attendance at Meetings - Duly informed member organizations must attend meetings called by HRMS, the Student Organizations Coordinating Council (SOCC), or the Office of Student Affairs (OSA). This emphasizes the importance of active participation and collaboration within the HRMS community.
Voting Rights - Only bonafide student members in good standing have the right to vote and be voted upon in any election conducted within the organization. This ensures democratic decision-making and representation within HRMS.
