Yearly Renewal
Each year, after the stipends have been determined by the GMEC for the upcoming academic year, you will start the yearly DS-2019 renewal process.
NOVEMBER/DECEMBER: Step #1: Offer letter/ Required documents
Offer Letter
The Program Coordinator and the Training Program Liaison (TPL) for ECFMG will work together to get your offer letter created.
Once it is created, the TPL will send it to the Program Coordinator for approval and to get the Program Director Signature
After the Program Director signs the offer letter, the Program Coordinator will send it to you for your approval/signature.
The Applicant or the Program Coordinator will send the completed offer letter back to the TPL
Checklist Documents
The TPL will send you a list of documents that they require to open your ECFMG appointment profile. It is important to send back these documents as soon as you have them available.
Statement of Need (SoN)
Unless you are changing programs or your current statement of need has a end date, you will not need a new SON each year you renew.
JANUARY- JUNE: Step #2: DS-2019 Form
ECFMG can start reviewing/renewing DS-2019 forms 6 month before the end date on your current DS-2019. For most of you, this will be January, but we can open you appointment profiles as soon as we know the stipend for the upcoming year.
Once your appointment profile is complete, ECFMG will send your DS-2019 form to the University of Minnesota Graduate Medical Education Office.
Our GME office will retrieve your DS-2019, and will ship it to your home address, or you can pick it up at the GME office during office hours.
JANUARY-JUNE: Step #3: Update your I-9 with Department HR
Once you receive your new DS-2019, you will need to update your I-9 with Department HR before the next academic year start date. It is recommended to take this step as soon as you receive your new DS-2019 form.
