Notes from January 2025 Commencement Meeting:
2025 Regent timeline for appearance requestsÂ
Late January/early February – Krista Overby with the Regent’s Office will contact commencement coordinators via email with a link to the form to request a Regent for their unit’s ceremonyÂ
March – Krista Overby will work with the Regents on their availability and preferences based off of appearance requests
Late March – Confirm Regent appearances with units
Note: Regent will arrive with their own regalia w/ luggage tag on how their hoods should be worn; helpful to have staff onsite to assist (this is a post-pandemic shift; no more couriering regalia to and from venue and BOR office!)

Best practices for soliciting staff to work commencement:
Work into job descriptionsÂ
Frame as an expectation vs. optionÂ
Lean on leadership to encourage staff to sign up
Provide training opportunities and thorough staffing plan/resources to help ease anxieties from staff membersÂ
If visiting venue with staff, be sure to arrange well in advance of the event day to not interfere with the venue’s busy schedules leading up to commencement ceremony daysÂ
Helpful project management tools:
AsanaÂ
Google spreadsheet/task listÂ
Venue best practices:Â
If using courier to drop items off in advance, label with school name and ATTN to front of house staff (specifically for Northrop)Â
Live-streaming is still a relevant and necessary accommodation for ceremoniesÂ
Questions for commencement planners to connect on separately, if interested:Â
How to engage keynote or alumni speakers beyond the ceremony itself – special interviews, dinners, student engagement?Â
Talk through ticketed vs. non-ticketed ceremonies and best practicesÂ
