REVIEW POLICY & QUALITY ASSURANCE
All submitted papers undergo a rigorous peer-review process to ensure the highest quality of academic content. Each submission is evaluated by a minimum of three independent, expert reviewers. The review criteria include technical quality, originality, significance, clarity, and relevance to the conference's scope.
Plagiarism Policy & Pre-Submission Requirements
Authors are responsible for ensuring the originality of their work prior to submission. You should use institutional plagiarism-detection tools (such as Turnitin or iThenticate) to conduct a pre-check and ensure your manuscript's similarity score is below 25%. While this is a helpful guideline, please be aware that all papers will be subjected to the more stringent IEEE CrossCheck plagiarism detection system. Submissions exceeding acceptable similarity thresholds as determined by CrossCheck will be immediately rejected without peer review. We strongly advise authors to prioritise proper citation practices and originality to avoid desk rejection.
Review Process
Our review process uses a double-blind peer-review system, ensuring an unbiased evaluation of each manuscript. Reviewers assess submissions based on their technical merit, novelty, and presentation quality. Authors will receive detailed, constructive feedback from the reviewers to help improve their work. Final decisions, including acceptance or rejection, will be communicated to authors along with a summary of the reviewer recommendations.
NO-SHOW POLICY
Please be aware that IEEE enforces a strict no-show policy. To ensure your accepted paper is included in the conference proceedings and submitted for publication, one of the authors or a designated representative is required to present the paper virtually at the scheduled time.
Papers with no-show participants without a valid reason will not be submitted to IEEExplore. No refund of the paid fees may be claimed by the no-show author.
PUBLICATION POLICY
Publication of papers is solely dependent upon the author’s response to queries and proofreading during the production stage. Publishers or Conference Organizers can decline to publish the conference paper that does not meet their quality standards.
We do not claim or guarantee that any papers will be indexed in any database. Indexing services evaluate conference papers and independently determine what they will index. The procedures for the same are dynamic and are liable to change from time-to-time.
The publication time for the papers received is not fixed. It may take up to 6-9 months from the date of completion of the conference or even more for further processing. The same can also be extended due to unavoidable circumstances or as per the publisher requirements or delayed response by authors to publishers’ queries.
PAYMENT POLICY
Instructions for Author(s) Registration & Payment of Registration Fee
Each paper must be registered by at least one (1) author for presentation in the conference, and must be published in IEEE Xplore®.
Registration fee for each category has been defined in the Registration Fee table. No registration will be confirmed until payment is received.
Additional Paper Registration and Co-author registration apply as mentioned in the table above (if applicable).
The fee includes access to Opening/Closing Ceremony, Keynotes/Invited Lectures, Oral Paper Presentation Sessions in online mode, Online Conference materials, Participation/Presentation Certificate (through e-mail after the completion of the conference).
Registration must be paid and confirmed before the deadline. We may revise our terms and conditions in accordance with government regulations, for example, to reflect changes in relevant laws or regulatory requirements or improvements.
Kindly pay the conference registration fee through online mode. The online registration process is managed through UiTM's official payment gateway.
Paper has to be presented at the conference virtually (online), and a registration fee must be paid.
Registration fee can be paid by available payment methods through the payment gateway provided. Kindly note that card details cannot be accepted via email.
All payment amounts will be converted to Malaysian Ringgit (MYR) according to the foreign exchange rate specified by the organiser.
REFUND POLICY
Cancellation of registration without any valid reason is not permissible.
60% refund (minus an administrative fee of 40% registration fee) if cancellation received and approved before or on 30 November 2025.
No refund if cancellation received after 30 November 2025.
In case of any additional or error payments made by the participant, refunds could be processed within 30 working days.
PRIVACY POLICY
This policy document highlights our privacy practices regarding personal information that we collect and store about you through this website and also for those personal information that you provide us while participating in our conferences/events and campaigns.
We process your personal information when it is necessary for the purposes of a legitimate interest pursued by us or a third party (when these interests are not overridden by your data protection rights). This applies in the following circumstances:
to identify you once you register on our website; and
to contact you and respond to your questions or requests;
to understand which parts of the website are visited and how frequently; and
to provide access to desirable content based on your preferences.
The information supplied by you after the registration will be kept as a record and we are committed to data privacy will protect your personal information, wherever necessary.
We may also share the personal information provided by you to our third-party service providers engaged in the conference held and to our co– sponsors for event purpose only.
Except to the disclosure of the information to the above concerned parties, we will not disclose your personal information to any other third party without your consent.
If you do not wish to get contacted in the future for event purposes, write to us via email to unsubscribe this service provided by us.
If you choose not to provide your personal information that is mandatory to process your request, we may not be able to provide the corresponding service for publication-related communication from organizers or publishers in the future.
The information of the reviewer body is highly considered to be confidential and cannot be disclosed at any point in time even if claimed or requested.
The contact details and personal information of speakers agreed to be a part of our conference may be shared with event attendees. We may also post the information containing name, affiliation, email address, etc., with a photograph on our various conference websites for visitors knowledge attending a particular conference.
We prohibit the creation of frames around all the web pages which alters and affects the visual presentation of any of our websites.
Filming and photography may take place at the conference. You consent to your image and likeness being used in marketing and films without any payment to you. By attending a conference, you hereby have the absolute right and permission to use your photograph or video image in promotional materials and publicity. In addition, you hereby consent to waive any and all future claims, causes of actions, and/or demands against conference secretariat.
