At the University of Alberta we know that new faculty members have overlapping but distinct needs in their onboarding journey. We have tailored resources for faculty and those supporting the process to support your teaching and research journey at the U of A.
Onboarding new faculty is a collaborative effort that involves several campus units. For additional support visit the Centre for Teaching and Learning, Research Services and Environment and Safety.
Faculty Members
Completes required onboarding actions, including mandatory training
Completes role specific training
Deans/Chairs/Delegates
Ultimately accountable for onboarding staff
Completes or delegates onboarding activities and administrative tasks
Identify training and development needs for the first 90 days
Meets regularly with onboarding employee, and provides feedback and guidance
Teaching and Research Mentors
Acts as a cultural role model
Provides guidance as the faculty member adjusts to their role and team
Assists the faculty member to develop a sense of belonging on the team
Provides hands-on support to navigate systems and processes as appropriate to teaching/research
Teaching and Research Mentor's are NOT
Responsible for the onboarding process
A coach or mentor involved with developing an onboarding faculty member
A supervisor responsible for the job performance or evaluation
Some things a Teaching and Research Mentor might do:
Meet and greet the new faculty member on their first day on campus
Show the faculty member the work environment(s)
Take the faculty member for an expanded tour of the university
Introduce the faculty member to others in the department
15-20 minute weekly check in meetings for an agreed upon duration
Answer general/routine questions and/or putting the faculty member in touch with the appropriate resources
Introduce the faculty member to others in the unit and/or with whom they will have contact
Share information about good places to get coffee/lunch
Invite the faculty member for coffee/lunch once per month for the first couple of months
Onboarding Coordinators**
Completes administrative tasks associated with onboarding
Provides oversight of onboarding processes for faculty - Prompts and support faculty onboarding lead to complete pre-boarding activities
Ensures onboarding process is followed
Supports individuals moving through onboarding process
**Who is the Onboarding Coordinator?
This is a function NOT a role. It is recommended that the faculty designate a consistent person to carry out these duties. Onboarding duties are included in the general administrators' job card. Faculties that do not have a general administrator can delegate these duties to another member of the unit. Not sure who the onboarding coordinator is in your faculty?
