Instructors may find themselves with questions related to whether a student should or should not be in their class. When this occurs, rather than confronting the student, please email Education Student Services (ESS) at edacad@ualberta.ca. In your email, include specific information such as: course number and lecture section, student name, and student ID number. A member of the ESS team can investigate your question and provide a response. Please refer to the specific situations below for explanations.
For all questions or concerns about a student's enrollment in your course or course selection, please contact edacad@ualberta.ca. Student Advisors have access to all pertinent background information and can review any issues raised and follow up with the instructor.
For all course and program planning questions, please direct students to Education Student Services (ESS) through the Student Service Portal or email educinfo@ualberta.ca. Do not advise students on course or program planning.
Students may attempt to request admission to a class(es) by contacting the instructor directly. Individual instructors cannot make such decisions about student enrollment. Please do not allow students to sit in classes if they have not registered for the course and please do not tell students that you are willing to add another student. Education Student Services (ESS) manages the enrollment of all classes. Therefore, please direct the student(s) to contact Education Student Services (ESS) through the Student Service Portal or email educinfo@uablerta.ca as all registration requests must go through the Faculty.
If a student is on a class roster, they have been legitimately added and have been approved to be in the course section. Either the student has registered themselves or they have been manually added by a Student Advisor from Education Student Services (ESS). When a student is added above the enrollment cap, the decision was not made lightly and must be respected.
Please do not confront the student(s) who exceed the cap, as they would only be added after careful consideration of many factors (e.g., student’s progression through and timely completion of the BEd program, historical enrollment caps, number of sections in the course, etc.). Please welcome them into your learning community. If you have questions or concerns, email edacad@ualberta.ca and they will follow up with you.
Course enrollment is carefully managed by the Associate Dean (Academic & Student Experiences) and ESS Manager. Posted enrollment caps are not always the actual caps, as we are under enrollment management and for a variety of factors spaces may be held back for manual registration needs.
Education Student Services continually reviews registration in condensed courses and removes ineligible students.
Many Education students do not follow a predictable degree path given the complexities of their life circumstances. This results in students being out-of-sequence compared to the expected flow of the program. As well, a student may be in a condensed course (APT- or IPT-length) within a regular term as that is the only format the course is offered in. When this occurs, please do not communicate that the student is not allowed in the course. If you have a question about a student’s eligibility to be in your course, please email edacad@ualberta.ca and a Student Advisor can follow up and verify the student’s eligibility for enrollment. At the same time, please recognize that a Student Advisor may have access to personal, private information that they cannot disclose to instructors but impact registration decisions. Education Student Services (ESS) works carefully and diligently to ensure that students can complete their programs in a timely fashion.

Program exceptions are based on the full program and needs of a student that may only be known to the Associate Dean and ESS staff. When registering a student, a Student Advisor checks to ensure that students are arriving in your class prepared to learn with the necessary background.

A Student Advisor will review the student’s eligibility as they have access to all pertinent background information, along with course registration functionality. They will follow up and verify the student’s eligibility for enrollment.
If students approach you with questions about their overall program, flow through the program, what courses to take, and similar kinds of questions – please direct them to contact Education Student Services (ESS) through the Student Service Portal or email educinfo@ualberta.ca. They will be put in touch with a Student Advisor who will have the full picture of the specific student’s program and can advise the student knowledgeably on how to navigate through their program.
