An instructor missing a shift can cause challenges at your center if not handled appropriately. This guide reviews how to handle when an instructor is going to miss their shift
Make sure the instructor missing their shift asks for cover on the center's community page in Paylocity
If someone comments on their post and is able to cover, the missing instructor needs to communicate that to you
Have the instructor fill out a missing shift request form on the Instructor Dashboard (linked above)
In DaySmart appointments, add a student session with the Instructor Shortage information below:
Guardian Name: "Instructor Shortage CenterAbreviation"
Student Name: None
Session Type: Temporary Instructor Shortage
This will block your student schedule for the next 4 hours so that additional appointments are not booked while understaffed
If uncertain on how to add a student appointment, visit the Scheduling A Student Session guide linked above
Using the Instructor Info tab of the Center Information Spreadsheet, take note of which instructors are available to cover the uncovered shift
If no one has responded to the instructor's missing shift post in Paylocity, reach out to these instructors directly and see if any are able to cover the uncovered shift
If no coverage is found and an instructor shortage is inevitable, block off your own Asana calendar (if possible) and cover the shift yourself
You can use the Managing Asana Calendar guide to review how to block your Asana calendar
