The PTA Executive Board is comprised of elected officers, committee chairs, and school representatives. It meets four/five times a year to conduct PTA business. Anyone may attend general PTA meetings which are scheduled monthly, with the exception of December.
Elected Officers:
1) President – Serve as leader and key contact for the PTA; preside at all PTA meetings; appoint chairpersons for special committees; coordinate the work of the officers and committees so that the PTA’s objectives can be met.
Coordinate the general activities of any Special Committees (6th Grade Orientation, Health Talks, Locker Ladder Sales, Back to School night). Will have to attend weekly Trumbull PTSA Presidents council meetings. Sign monthly bank reconciliations for the treasurer. Meet with the Principal as needed to discuss PTA business. Update Co-President's binder annually.
2) First Vice President(s) - Act as an aide to the Co-Presidents; preside at all PTA meetings; perform the duties of the Co-President in the absence or inability of that officer to serve. Assume other responsibilities as assigned by the Executive Board; coordinate the general activities of any Special Committees (6th Grade Orientation, Back to School Night) created by the Executive Board. May be asked to attend weekly Trumbull PTA President Council meetings.
i) Main responsibility is to manage the PTA Committees:
(a) Monitor that all committees are functioning accurately and within budget. Committee Chairs report into First VP's and First VP's should be the first point of contact for chairs. Help recruit committee chairpersons for all vacant standing committees.
(b) Responsible for making sure all committee folders have been updated before the start of the new school year. Each folder must contain an updated committee description, committee procedures and any info pertinent to the event.
ii) One of the 1st VP's is responsible for maintaining the Membership Toolkit website.
4) Secretary
i) Preside at all PTA meetings and take the minutes of all general meetings PTA Meetings. Type up minutes for Co-President’s review within 48 hours of PTA meeting and have posted to website within one week of meeting.
ii) Prepare correspondence, publicity listings, and send out all e-blasts involving PTA/school functions throughout the year. (e-blasts can be done by any board member but must still follow the same chain for approval before sending)
iii) Work with PTA President to compile information and prepare a monthly e-blast newsletter.
iv) Update all PTA documents on the PTA tab of the MMS website prior to the beginning of the new school year (by mid August) and as needed during the school year.
v) Update secretary folder annually.
5) Treasurer
i. Preside at all PTA meetings.
ii. Responsible for all school funds; make disbursements as properly authorized; be present at all PTA events where money will be collected; assure that PTA policies and best practices are followed with regards to funds.
iii. Prepare financial reports for each meeting and as needed; prepare the books for an annual audit.
iv. Coordinate paperwork and provide information to PTA board for all educational initiatives requests for funds. Follow up with executive board for approval and feedback information to the requestors.
v. Oversee PTA Membership, Family Donation, and any other fundraisers as needed throughout the year, along with Locker Ladder monies collected at beginning of school year and throughout the year.
vi. Disburse National & State dues to the State of CT PTSA collected throughout the year.
vii. Prepare Federal Form 990 for previous years’ activities and supply State of CT PTSA with a copy.
viii. Update treasurer folder annually.
6) Parliamentarian – preside at all PTA meetings; act as a consultant to assure that meetings and processes are conducted in accordance with bylaws; advise on parliamentary procedures using Robert’s Rules of Order; bring current copy of Constitution and By-Laws to all meetings. Update parliamentarian folder annually.
