The PTA Executive Board is comprised of elected officers and school representatives. It meets several times a year to conduct PTA business and set the agenda for general PTA meetings, which are held on the third Wednesday of each month during the academic year.
President
Serve as leader and key contact for the PTA; preside at all PTA meetings; appoint chairpersons for special committees; coordinate the work of the officers and committees so that the PTA’s objectives can be met.
Coordinate the general activities of any Special Committees.
Review and approve teacher Mini-Grant and Panther Perks funding applications.
Represents Madison PTA at Trumbull PTSA Presidents Council meetings.
Review monthly bank reconciliations for the Treasurer.
Meet with the Principal and Assistant Principal as needed to discuss PTA business.
Vice President
Act as an aide to the President; preside at all PTA meetings; perform the duties of the President in the absence or inability of that officer to serve.
Coordinate the general activities of any Special Committees created by the Executive Board.
Manage and oversee PTA Committees; ensure all committees are functioning accurately and within budget; assist in recruiting committee chairpersons for all vacant standing committees.
Administer the Infinite Campus portal for Membership Dues, fundraising, merchandise/swag sales, and event registrations.
Review and sign monthly bank reconciliations for the Treasurer.
Assume any other responsibilities as may be created by and agreed upon by the PTA Board.
Secretary
Preside at all PTA meetings and take the minutes of all Board and General meetings. Post meeting minutes on the PTA website.
Collaborate with the Board to prepare General Meeting agendas and send them via e-blast in advance of each meeting.
Prepare correspondence and publicity listings, and send e-blasts for PTA/school functions throughout the year (e-blasts may be sent by any board member, but they must still follow the same approval chain).
Work with PTA President to compile information and prepare a monthly e-blast newsletter.
Review and sign monthly bank reconciliations for the Treasurer.
Update all PTA documents on the PTA tab of the MMS website before the start of the new school year and as needed throughout the school year.
Treasurer
Preside at all PTA meetings; provide a monthly financial overview for the Board and General PTA meetings.
Take responsibility for all PTA financials; prepare proposed budget, make disbursements as properly authorized; ensure that PTA policies and best practices are followed regarding funds and the handling of cash revenue from event sales.
Prepare monthly bank reconcilations.
Prepare financial reports comparing Budget to Actuals for each Board and General meeting and prepare the books for an annual audit.
Disburse reimbursement payments to Committee Chairs and Teachers for approved expenses or grants.
Oversee PTA Membership and fundraisers as needed throughout the year.
Disburse National & State dues to the State of CT PTSA collected throughout the year.
Prepare Federal Form 990 for previous years’ activities and supply State of CT PTSA with a copy.
