With the collaboration of The ASK Academy admin, and to continue supporting clubs and special events, The ASK Academy and PSC will be making some adjustments to financial support. We are excited about these changes and hope it will be helpful in supporting scholars and project managers with activities.
The PSC will continue to operate Pizza Thursdays, as well as drinks and desserts. All of the profits currently support ASK in various ways such as school needs, staff appreciation, assistance with events (many held without a club, for example, science fair or poetry night), and financial support for clubs. No clubs can fundraise on Pizza Days.
We recognize that clubs have varying needs, and some need a much higher amount of funding. In order to be helpful to these clubs, and to continue to provide financial assistance, we are beginning a new system.
Club Financial Assistance
PSC will be providing clubs with “seed money.” Clubs can utilize this seed money to help them with expenses, fundraising, or a combination of both. The amount of seed money given may vary depending on the club's needs and depending on the number of requests for funding from ASK Academy clubs. For clubs interested in receiving seed money, submit a budget for your club, and an explanation of your expected costs and fundraising plans to PSC. You can use any budget form that works for your club, as long as it gives detailed information for club expenses and fundraising plans. PSC will review these budgets and allocate a certain percentage as “seed money” for that club.
Because the request for a budget plan is new, PSC will be offering a Budget 101 Class during lunchtime. In order to qualify for seed money, at least two people from each club need to attend - one club scholar representative and the project manager sponsor must attend. More are welcome - the class is open to any scholar and all project managers interested in learning budgeting tips for clubs. The class will be offered sometime in February during both Middle School and High School lunches.
Budget plans should be signed by the project manager sponsoring the club and the scholar heading the club. They can be submitted to PSC at ParentSupportCommittee@theASKAcademy.org
Eligibility
The ASK Academy Admin has designated the following clubs/events are eligible for PSC financial support. If you feel your club or event should be added, please talk to the ASK Admin and seek their approval.
Middle School - Dance Committee, National Junior Honor Society, MS HOSA, MS Robotics
High School - Dance Committee, National Honor Society, HOSA, HS VEX Robotics, Scholar Government, TSA, Model UN, Basketball Team
ASK Academy Events - Poetry Nights, Graduation, Science Fairs, Mini Golf, Administration Events
A new budget and explanation of needs, with scholar and project manager sponsor signatures, will be required to be submitted to PSC each school year.
Events for Fundraising
At ASK Academy there are a number of events that are held. Some have the intent to fundraise, while other events are for enjoyment and community building. Both types of events are important to ASK Academy scholars, families, and staff.
When PSC runs an event, PSC will be the financial beneficiary of the event. When a club runs an event, it becomes the financial beneficiary of the event. A good example of this is Candy Grams. The Dance Committee and its sponsors are the organizers and volunteers for Candy Grams. The Dance Committee then receives all profits for Candy Grams.
Alternatively, Turkey Bingo has been run predominantly by the PSC. If it continues to be run by the PSC, the PSC will receive the profits. If a club is interested in helping with a certain aspect, like concessions, then they need to make arrangements with PSC and then carry out concessions (planning, purchasing, selling, etc).
As concessions are a common club fundraising effort, PSC can share helpful tips on affordable sources for concessions and tips on pricing. Understandably, there will be some variation in sales and profits, as is common in any event. Clubs should do their best to make educated decisions about the quantity to purchase and sale prices. This will provide opportunities for scholars to learn and grow in finances, and to be mentored by the project manager club sponsors. Stephanie Munoz has shown you where to find information on how to do a purchase order, as clubs will need to do this directly with her.
As there may be a number of clubs at ASK Academy that will be interested in partnering with PSC events, such as concessions for events like Turkey Bingo, we will start a rotation and signup process so all clubs can have an opportunity, if they choose to.
Clubs are encouraged to find creative ways to support their expenses but must seek approval of ASK Academy Admin before launching a new event, and are invited to work with PSC for helpful tips. This will provide opportunities for scholars to learn planning, budgeting, and fundraising, and then reap the rewards of their hard work.
Project Managers who are the club sponsors must be present at all fundraising events to collect money and support their club members. Scholars are not allowed to collect money without them present. This is not the PSC’s responsibility.
Communications
The admin and PSC require that any and all communications from clubs to the PSC originate from project manager club sponsors. Follow-up emails can come from club representative scholars and/or parents, as long as the club sponsor is also included in the email.
