Holland Extended Day Handbook

2024-2025


The Holland Extended Day Program will begin on the first day of school, August 28, 2024. The before school program will run up until the last day of school (day 180). The after school program will run until the last full day of school (day 179). The after school program will not be available on the last day of school.


Please retain this handbook for your records and submit your google registration. Your child will NOT be enrolled in the EDP or allowed to attend until we have a completed online registration form.


GENERAL INFORMATION

● The 2024-2025 Holland Extended Day Program is open to Holland Students in grades

K-6. The program’s hours are 6:30 am -start of the school day and 3-5:00 pm.

● The Extended Day staff can be reached during their operating hours by calling 413-245-9644 if an emergency should arise also please email Moranh@tantasqua.org.

● Time will be provided for students to work on homework; however, the program cannot

guarantee or correct homework. In addition, we do not make any child complete their

homework.

● In order to maintain the safety of the children, students must be signed in/out daily and the

time will be recorded. The person signing out students must be listed on the registration unless other arrangements have been made in advance.

● If your child should become sick during the EDP hours, we will call and we ask that you pick up your child as soon as possible. In addition, any head bump will facilitate a call home.

● As part of our enrollment process, you will be asked to provide contact information as

as well as emergency contact information. Please keep this information updated

throughout the school year. If it should change please contact moranh@tantasqua.org.



Program Enrollment

● In order to enroll in our program, you must fill out the online registration. If we are missing any

information, your enrollment will not be processed.

● Though we are not a therapeutic environment, we do our very best to accommodate all

students. When enrolling your child/children please keep in mind that we maintain a

childcare ratio of about 13 children to 1 adult and our program is made up of large

group areas and activities. Every child who is enrolled in our program must follow our

behavioral policies and expectations and are treated without discrimination. If you have

questions, we encourage a meeting prior to enrollment to discuss your child’s needs to

ensure our program is the right fit for your family.


Procedures  For Before School drop off and after school pick up: Please come to  the gym door closest to the loading dock. A staff member will be there to help you sign into the program or out of the program. If we are not there we are on the playground and you can head there to sign in or out of the program. Please be patient at pick up. Children should help clean up their activity when they are picked up. We do go outside whenever the weather allows. If the temperature feels like 20 degrees or above students should wear appropriate clothing to participate. 

Hours: The morning program will run from 6:30 a.m. until the start of school. The after school program will be open immediately following the close of school and closes promptly at 5pm. The after school program will be available on the following half days: Sept 26, Nov 26, Jan 10, March 26, May 9 You must sign up for these days well in advance (more information to come). The After School program will be closed on the following half days Nov 27, March 27, April 18. The EDP will be closed on holidays, snow days, vacation days, and all other non-school days. If there is an early release day due to inclement weather the after school program will be closed. If there is a delayed opening due to inclement weather the before school program will be closed.


BEHAVIORAL INFORMATION

● As we are housed at Holland Elementary School, the Extended Day program follows the

discipline code of Holland  Elementary. This is a continuation of the Holland Elementary School Student/Family Handbook 2024-2025. Behavior expectations will mirror school day expectations. Students are expected to be respectful to staff and other students at all

times with all expectations outlined in the Holland Parent-Student Handbook. 

● Parents of students who are unsafe, disrespectful and disruptive to the program will be

notified through email or phone call from the program coordinator or principal. It is

important for parents, guardians, and Extended Day staff to work together to ensure a

safe and positive experience for your child. If you have questions about the behavior

If children consistently do not meet the behavioral expectations the below procedure will be followed: 

1. A verbal warning will be given to the child and parent. 

2. A written warning will be given to the child and parent. 

3. The child will be removed from the program for the remainder of the year. 

Please note, the above may be adjusted based on the severity of the incident. In the event the incident is dangerous or destructive the child may be asked to not return to the program without following the above process. 





FINANCIAL INFORMATION

The tuition of the program will be $6 per hour (or any part of an hour) for the first child enrolled. The tuition costs of the program will be $2.00 per hour or any part of an hour for each additional child of the same household. 

 *Families will also cover any additional field trip cost per student when they sign them up. 


An hour, as defined by this program is 60 minutes or any portion of 60 minutes that care is provided. Hours are as follows: If your child/children are signed in to the before school program before 7:15 am you will be charged for 2 hours that day. If your child/children are signed out after 4:00pm from the after school program you will be charged for two hours that day. Parents who pick up their child after 5PM will be charged a fee of $50.00. No exceptions. If this happens more than once, your child will not be permitted to continue in the extended day program.

*Half days start at noon and end promptly at 5pm and will be billed for such. 

Payments and Billing:    Payments can be made by visiting this link https://unipaygold.unibank.com/customerinfo.aspx

Billing statements will be emailed out every Friday to the email address on file and are required to be paid by the following Friday. Paper copies will only be available by request. If not paid by the due date it will result in a $5.00 late charge. If the payment can NOT be processed through the electronic system then we may request cash payment to be made. If the bill is not paid by Friday your child/children may not attend the program beginning the following Monday. There will be no exceptions to this procedure. The final payment of the year must be paid by the last day of school. Accounts must be kept current.

● At the end of the school year, if there is still an outstanding balance on your account,

your child/children may not return to the program the next school year until the balance is

Resolved.


The HES Tax I.D number will be provided upon request. 


Student Schedules

● To ensure student safety, any daily change in schedule necessitates a note to your child's classroom teacher/s and an e-mail to the Program Director: moranh@tantasqua.org.  We understand that things come up but you must communicate with the extended day program when there is a change to their normal dismissal routine. We base daily staffing on attendance numbers so if we are not notified by noon that day of a change you will be charged for an hour of care even if the student doesn't attend. 

Snack: Children will have time for an after-school snack at 3:00 pm each day. Due to food allergies, snacks must be provided from home. Please remember to include a drink. A refillable water bottle is best.  * Due to food sensitivities the after school program WILL NOT provide snacks to children. 

Lunch for Half Days- On the following days parents will need to provide a brown paper bag lunch.  Please include a snack as well. Sept 26, Nov 26, Jan 10, March 26, May 9These are the half days the program is open. 

Electronic Devices Students attending Holland Elementary School Extended Day are permitted to bring Electronic Devices to the program for safety reasons but use of any such device during the extended day program is strictly prohibited. All Electronic Devices must be turned off during the program and stored in the child’s backpack. Please be advised that any Electronic Devices that are visible or sound during the program will be confiscated and must be claimed by a parent. Holland Elementary School assumes no liability for lost or stolen items. Bringing Electronic Devices to the program is done so at your own risk.

Action Plans


 Allergic Reaction: (examples of possible symptoms include) Difficulty breathing, shortness of breath, wheezing, difficulty swallowing, rash, hives, itching, frequent throat clearing, swelling of any body part. Action Plan: Known allergy- Call 911 and assist the child in using Epi-Pen if prescribed and available. Then notify the parents. If allergy is not known-  If rash/hives/ or other symptoms noted have the child wash the area, apply ice and notify the parent. Call 911 if symptoms worsen or if signs of difficult breathing. 

Asthma: Child has difficulty breathing, wheezing, frequent cough, shortness of breath and/or chest tightness Action Plan: If the child has their inhaler, allow them to use it and offer rest and a cold drink. If there is no relief of symptoms in five (5) minutes, call 911, then notify the parent. If no inhaler is available, notify parents and if symptoms worsen call 911.

Diabetes: Low blood sugar reaction- hunger, sweaty, pallor, feels shaky, headache. Action Plan: Have the child test their blood glucose level and record number. Follow Individual Health Care Plans. Call parents to inform them of symptoms. If a student becomes unconscious due to low blood sugar, call 911 immediately.


Seizure: Altered consciousness, involuntary muscle stiffness or jerking movements, drooling, foaming at the mouth, temporary halt in breathing, loss of bladder control. Action Plan: protect child from falling or hitting head, clear area around student, remove other students from the area,  never put anything into the child's mouth, and do not attempt to restrict movements. Time the seizure. Call 911. *Notify the guardian. 


No school nurse is available during the extended day program. I give staff permission to administer basic first aid to my child In case of an accident or serious illness. I understand the Program will contact a parent/legal guardian. If the Program is unable to reach either parent/legal guardian, I understand the Program will call for emergency medical services (911).
