There are many different forms that need to be sent to Deans, department Chairs, faculty mentors, student participants, and symposium attendees. Below there is a timeline when these forms generally should be sent and returned by. The accompanying email prompt is located on the Email Drafts page.
Send the Departmental Reservation Form to all academic department Deans, Chairs, Administration Assistants, and Program Directors.
This form will provide you with information on how many departments and programs will be participating and the faculty contact in connection tot he students. This will also provide a rough estimate of the number of student presentations in posters, creative, and oral presentations.
This form is due on FEBRUARY 5.
Send the Student Information Request Form to the Department contact provided from the Departmental Reservation Form.
This form will provide the names and emails of the student presenters for each department and program. It is ok if the department does not know who they are sending yet as long as they give you a date that they will know by and it is still two weeks before the actual symposium.
This form is due on FEBRUARY 28.
Send the Student Submission Form to the student presenters indicated by the previous form.
This form will give you all the information about the presentations including presentation type, all presenters names and years, bios, pictures, faculty sponsor, title and abstract of project. This form also has valuable information about the set up the presentation will need, like electrical outlet, microphone, or cabaret table vs. easel. Make sure to send this out before Spring Break.
This form is due on MARCH 23.
Send the Volunteer Form to all academic department Deans, Chairs, faculty contacts and participant sponsors, as well as Housing and Residence Life, and student organizations.
It is very important to have multiple volunteers for all hours of the event as they will be in charge of set-up, check in, room moderation, event take down, and medal distribution. This is impossible without volunteers.
This form is due APRIL 20.
Send the Feedback Survey to all student participants.
It is important to improve the symposium year and after year and the easiest way to understand what went well and what did not is through feedback.
