SKYE HR AND TRAINING - PRIVACY NOTICE
Under UK data protection law, individuals have a right to be informed about how Skye HR and Training uses any personal data held about them. I comply with this right by providing a privacy notice where I process personal data. This privacy notice explains how I collect, store, and use personal data with individuals I engage with as part of any contract agreed with Skye HR and Training. I, Joanne Hudson, the owner of Skye HR and Training will act as the Data Protection Officer and will be responsible for ensuring that this notice is made available Only personal data that is essential to carry out agreed work to fulfil a contractual obligation will be collected.

• Date of birth, marital status, and gender
• Salary, annual leave, pension, and benefits information
• Bank account details, payroll records, National Insurance number, and tax status information
• Recruitment information, including copies of Right to work documentation, references and other information included in an application form and covering letter as part of the application process
• Qualifications and employment records, including work history, job titles, working hours, training records and professional memberships
• Performance information
• Absence data
• CCTV footage
• Data about your use of the school’s information and communications system
• Video footage
• References from referees
Special Categories of Sensitive Personal Data that may be collected
• Race, ethnicity, religious beliefs, sexual orientation, and political opinions
• Trade union membership
• Health, including any medical conditions, and sickness records
Why I Use this Data
The purpose of processing this data is to fulfil a contractual obligation providing HR support to your organisation. This could be related to, but is not limited to:-
• Facilitate safe recruitment, as part of safeguarding obligations towards pupils
• Support effective performance management
• Monitor recruitment and retention policies
• Allow financial modelling and planning
• Support ethnicity and disability monitoring
• Support the management of workforce data
• Support the management of attendance
• Enable the development of a comprehensive picture of the workforce and how it is
deployed
Data Sharing
I do not share information about you with any third party unless this is under your instruction and with your consent. Where it is legally required, or necessary (and it complies with UK GDPR) I may share
personal information about you with:
• Your Local authority – to meet my legal obligations to share certain information with it such as safeguarding concerns.
• Your contact details in the event of an emergency
• My insurance provider should this be appropriate and required,

Transferring Data Internationally
The application used by Skye HR and Training is Google whose headquarters are based in California.
Legal Basis for Using Data
I will only collect and use your personal data to:-
• Fulfil a contractual obligation
• Comply with a legal obligation
• Carry out a task in the public interest
• To pursue a legitimate interest for example references as part of safer recruitment
How I Store this Data
Data will be stored in my secure, 2 step authentication, Google Workspace for the duration of the contract agreed. Once the contract is completed the data will be securely destroyed.
Your Rights Regarding Personal Data
Your rights as a data subject:
• Individuals have a right to make a subject access request to gain access to personal information that we hold about you
• The right to be informed: Individuals have the right to be informed about the collection and use of their personal data
• The right of access: Individuals have the right to access their personal data
• The right to rectification: Individuals have the right to have inaccurate personal data rectified, or completed if it is incomplete
• The right to erasure: Individuals have the right to have personal data erased (also known as the right to be forgotten)
• The right to restrict processing: Individuals have the right to request the restriction or suppression of their personal data in certain circumstances
• The right to data portability: This right allows individuals to move, copy or transfer personal data easily from one IT environment to another in a safe and secure way, without affecting its usability
• The right to object: individuals have the right to object to the processing of their personal data in certain circumstances and an absolute right to stop their data being used for direct marketing
• Rights in relation to automated decision making and profiling: Automated individual decision making (making a decision solely by automated means without any human involvement) and profiling (automated processing of personal data to evaluate certain things about an individual) are restricted

I will take any complaints about the collection and use of personal information by Skye HR and Training very seriously.
