Deadlines and Forms

Please see the Thesis and Dissertation deadlines below for submission of your work to the College of Graduate Studies.  To qualify for graduation in the semester in which you submit your thesis or dissertation, Montezuma Publishing will review your work within 4 weeks after it has confirmed its receipt from SJSU. You may submit your thesis or dissertation to the College of Graduate Studies after it has been defended and signed off by your committee.  Early submission is encouraged to allow more time for your format review.

Meeting the submission deadline guarantees that Montezuma Publishing will review your thesis and return it to you for corrections, if necessary, at least one week prior to the publication deadline.  Theses and dissertations that are resubmitted for review will be given priority status but will still require a full review.

Your thesis or dissertation must be reviewed and approved for publication by Montezuma Publishing by the 3:00 p.m. deadline, with all fees paid, including any additional format review fees, a $45.00 fee for ProQuest submission (mandatory), and any printing or binding services you choose.  See Montezuma Publishing's fees.

Fall 2023
Submission to the College of Graduate Studies:  November 13, 2023, by 11:59 p.m.
Montezuma Publishing Publication Deadline:  January 29, 2024 by 3:00 p.m.

Spring 2024
Submission to the College of Graduate Studies:  April 22, 2024, by 11:59 p.m.
Montezuma Publishing Publication Deadline:  July 1, 2024, by 3:00 p.m. 

Summer 2024
Submission to the College of Graduate Studies:  July 15, 2024, by 11:59 p.m.
Montezuma Publishing Publication Deadline:  September 23, 2024,  by 3:00 p.m.


Forms and Submission Information

The following documents must be submitted to the College of Graduate Studies by the posted deadline for the semester in which you are graduating.  The forms are fillable pdfs. Download the forms in Adobe Acrobat.  If you do not currently have an Adobe program to open these files, please contact eCampus to obtain a license. Each document must be provided in one email to thesis@sjsu.edu and be labeled in the conventions outlined below.  


Thesis or Dissertation.   You may submit your thesis as either a PDF or Word document and must be labeled “last name_first name_thesis (or dissertation).  Google Docs are not allowed.


DOWNLOAD THE FOLLOWING THREE FORMS AS PDFs SO THAT THE FIELDS APPEAR FOR ENTRY:


Thesis, Creative Project, Dissertation, Information Form.  Complete all of the fields of information.  Correctly state the name of your program.  Select your format guide or provide departmental guidelines (must provide style for headings, citations, and references).  If using a journal article as a format guideline, submit links to Author guidelines and a sample article.  Indicate if you are required to submit copyright permissions or protocol approvals.  This form is a guiding document provided to Publisher.  Missing or incorrect information on this form will result in a delay in your document review.  This document must be labeled “last name_first name_Information.”


Thesis, Creative Project, Dissertation Committee Approval FormYou must defend your thesis or dissertation and make any required changes prior to submission to the College of Graduate Studies.  Committee members may sign the Committee Approval Form electronically or with a wet signature.  The document must be labeled “last name_first name_Committee.”


SJSU License Agreement FormAll theses and dissertations are published through ProQuest and downloaded to SJSU ScholarWorks.  The College of Graduate Studies will forward this form to the MLK Library.  It communicates the level of access you wants others to have to your work. You may choose between SJSU access only (only SJSU faculty, staff, and students would have access to view a full text version of the document) or worldwide access (anyone searching the library catalog would have access to view a full-text version).  An embargo option is also available allowing the student to delay publication of all parts of the thesis or dissertation, including its title, author, and abstract, in 6-month increments for up to 5 years (University Policy S14-10). You must sign the form electronically or with a wet signature.  The terms of this license will used by Publisher to set publishing guidelines in ProQuest.  The document must be labeled “last name_first name_License.”


Research Protocol Documents, if required.  These include your IRB, IACUC, or Biological Use Information forms.  The documents must be labeled “last name_first name_Research.”


Copyright Permissions, if required.  Read our policies regarding copyrighted materials.  A single pdf document, with all permissions must be labeled “last name_first name_Permissions.”
