Time Trials
May 27-May 30th
Tuesday, May 27- Friday, May 30
Time trials during your swimmer's regular practice time!
What are time trials? These are a chance to get into "race mode" and practice your swim events. We get a time which gives us a baseline for the season. Your swimmer will also get feedback on DQs. Time trials also gives our parent volunteers a chance to practice their swimmingly timing and stroke and turn skills.
Miss a day? No problem!
Not able to make it?
No problem! We will also accept USA Swimming Times and look at previous year's Swimmingly times for the purposes of assigning swimmers to Barracuda Black and Barracuda Orange teams.
Swimmingly
Be sure your swimmer is registered in Swimmingly. This is how we populate "swimmer numbers". We will post this list next week. Swimmers will write the number on their arm. Timers will enter the swimmer number each race they time.
Volunteers Needed!
Now is your chance to practice your timing and stroke & turn skills in the Swimmingly Timer App.
New Stroke & Turn volunteers will be working alongside a YWCA swim coach to identify the DQ and enter it into swimmingly.
Sign Up for shifts HERE
We are also looking to train a few STARTERS to be able to help us run the meets. During time trials you will be with Coach Alan on the PA system, working alongside him to run the meet and learn the Swimmingly Meet Manager software.
Policy for swimming before/after practice
YWCA Membership alone does not include use of the pool outside of practice times.
All swimmers swimming before or after practice must have a wristband.
Do not get in the pool "even for 5 minutes" without one!
Wristbands maybe purchased at the pool front desk for $ (members), $6/$8 (guests of members) or be picked up from the front desk with a valid monthly pool pass.
Monthly unlimited pool passes are $55 for a family or $38 for an individual. Scheduled monthly payments are required.
From May 19th - June 5th, Family Swim from 3:30-5:30 maybe cancelled or highly restricted due to the high number of swim team participants and the need for all the pool space we can get!
Summer 2025 Swim Team Format!
Thanks to our amazing coaching staff and our devoted families, the YWCA Barracudas swim program has grown immensely over the past 5 years.
Our team is HUGE!
While we LOVE our large team, we recognize that there are many challenges to such a large team. Specifically the dual meets. Our meets are long, the deck is very crowded, parking is difficult and other teams are dwarfed by our presence.
Due to this we have decided, with the support of Wilmington Swim League, to split our Barracudas team into two teams this summer for dual meet competition. We will have a Black Team and an Orange Team. These teams will be half the size, therefore meets will be faster and less congested. All swimmers will have an increased chance of placing (earning points and ribbons) and of participating in relays.
For the purposes of practice, the relay meet and Champs, Barracudas will compete as one.
At the end of this summer season we will evaluate this new format. Our goal is and always will be about providing the best possible experience for the kids. We will continue to focus on providing excellent swim coaching, a positive environment and promoting fun through swimming.
How will teams be decided?
The Barracuda Black team will be the top/fastest swimmers in each age division. Depending on the size of the group it will be the top 6 to 8 Boys and top 6 to 8 girls in each age division.
We are going to do time trials at regular practice time the week of Memorial Day: Tuesday, May 27 - Friday, May 30. We can also pull times from Swimmingly or families can submit USA Swimming times. Families will be notified of their team by Monday, June 2. We hope this will give families ample time to plan around the swim meet schedule.
Siblings will get a bye - in other words if one sibling in a family unit makes the Black team then all swimmers in that household are automatically on that team.
Who is coaching which team?
All coaches will be coaching practices as one unit. Our coaching team works together to create the focus/goal for each day, the week and the season.
For the purposes of organizing and leading the dual meets, Coach Alan and Coach Kyndall will be with the Barracuda Black team and Coach Deborah and Coach Tabitha will be with the Barracuda Orange team. All other coaches will split their time between groups.
Can I switch from one team to another for a meet because of my schedule?
We have tried to schedule swim meets for both teams on the same night.
However, the few times that was not possible, we will not be be able to flip flop between teams. This season will already be tricky enough!
How does this impact Swimmingly (swim meet software)
Swimmers will need to register in Swimmingly as usual. (See detailed instructions below)
However, swimmers will be able to see all swim meets in the system.
When it comes time to "opt in/declare" if you're attending the meet, pay careful attention to which meet you are signing your child up for. We do not, at this time have the ability to prevent families from signing up for the wrong meet.
Due to this, we will be very strict about Swimmingly deadlines. Please put those deadlines on your calendar!

5:30-6:30 11-12 year olds
6:30-7:30 13 & up
Please come prepared for practice! Properly fitting goggles are a must. Tie back long hair or wear a swim cap (provided to all swimmers!) While caps are not required they can really help both boys and girls with managing hair.
Come to practice with a can-do, positive attitude!
In the summer we have A LOT of swimmers! In order to maximize swimming and safety we ask that all swimmer come with listening ears and be ready to pay attention. The more we pay attention the more we get to swim. Keeping our goggles on helps to keep things moving along!
For swimmers who haven't swam in a while or who this is their first time on a swim team, the first few practices might be kind of tough. That's okay! Stick with it and talk to the coaches with any concerns you may have. If you don't know a stroke, watch the other swimmers and just give it a try! Coaches will teach the swim strokes as the weeks go on.
For our year-round swimmers or regular summer swim team participants - be patient! It takes a couple of weeks to get everyone in the routine of things.
Swimming "up" or "down" at practice
We have many requests for siblings to "swim up" due to camp/other activities or so that siblings can swim at the same time and families do not need to commit to long periods of time at the pool.
While we understand the need for flexibility and we do want to work with families to make swim team convenient and accessible, YWCA coaching staff has decided this summer to limit swim up requests. Swimmers can swim down but coaching will still be geared towards the age group that is practicing.
We feel it is in the best interest of all of our swimmers to attend their age group's practice. Even swimmers that are more advanced are going to get more out of a swim time with their age-group peers.
First, they will make friends! Secondly, swimmers will know who they're swimming with and against! Finally, and this is perhaps most important, coaches work on skills specific with each age group.
Each age group has specific criteria that we will use to determine if a swimmer can swim up. We are going to ask that swimmers come in for a formal assessment in order to determine if they can swim up this season. HERE is a link to the criteria. And HERE is a link to sign up for an assessment.

Swimmingly Clubhouse
Accessed only through a web browser (smart phone browser is ok!)
Required! Become familiar with this website!
This is where you will:
Meet Declarations - opt in (or opt out) your swimmer for a swim meet. No need to tell the coach or email us. It is all in the app!
Decide on up to 3 of the 4 events for each swim meet (dual meets only the 4 individual events are available; at champs swimmers can choose 3 of the 5 events as the 100IM will be a choice)
Keep track of all your swimmer’s times throughout the season and their career! Very important to keep track of this login - do not create a new account each season, use the same account each year.
Swimmingly Fan*
This is an optional app
This is where you will:
Keep track of the swim meet in live time (mostly live time, sometimes the tech lags)
This helps your swimmer not miss their event!
View times and results of swim events
Keep track of the team score. Go Barracudas!
Swimmingly Timer*
This app is used by volunteer timers and Stroke and Turn officials during the season.
At the beginning of your volunteer shift you will pull up the app and scan into the meet at the timer/starter table.
You will enter the swimmer number during each heat.
The timer has a time start and stop function
Easy to use! Sometimes it does glitch and will send you back to the start table to re-scan into the swim meet.
*Unfortunately Swimmingly apps only work with newer versions of Android and Apple products. Some parents have tried to volunteer in the past but have been unable to with their older devices. Check out the timer app, in particular, before you sign up for a volunteer shift and make sure your battery is fully charged on swim meet day. Also devices can overheat in the sun. We have had some families bring a one time use ice pack to keep their device cool on the hotter days.

VOLUNTEER INFORMATION
Volunteers are necessary to make our swim meets run smoothly and quickly. We can't do it without you! Every family must agree to our volunteer policy, and volunteer at least twice per season.
Volunteer roles include:
Timing - A smart phone required - some older phones are not compatible. We need 12-16 timers at every swim meet! As the largest team there is no reason we should have to beg for these volunteers during the meets.
Stroke and Turn Knowledge of all 4 strokes and a volunteer training session is required -
Sunday, May 18th 3pm-4pm and Sunday, June 1st 3pm-4pm @ YWCA.
Sign up here for Stroke & Turn Training
More Stroke and Turn officials ARE needed!
Concession Sales (home meets only). Sit in front of the pool - away from the chaos - and sell treats. More than one volunteer will be there with you so you can still sneak back in and watch your swimmer race.
Heat Winner / Runner and Heat Winner - A high-energy/high stakes job! Observe each heat and hand out the "heat winner" ribbon to the winner of each heat. Occasionally help with additional tasks as needed!
Computer and Head Timer - The computer and head timer work together (or can be one person) to operate the timing system, help parents get set up on swimmingly for the meet, and serve as a backup timer.
Starter - this is a VERY IMPORTANT JOB! Starts each heat, uses the swimmingly technology and keeps the swim meet moving along. Bonus - you're right in the action and won't miss a minute of the meet.
Other odd jobs as needed at kick off and end of season parties

GENERAL SWIM TEAM INFO
How we communicate all season long:
This, and weekly emails throughout the summer, will be filled with all the information you and your swimmer need in preparation for practice and swim meets!
We will also post updates and reminders to our Barracuda Facebook page if you want to give it a like/follow.
We also have a new INSTAGRAM page! Thanks Coach Kyndall for putting this together.
We have a team website. This website houses past season stats and is also a great resource for meet heat sheets, season updates and meet results.
As always, after reading, give the YWCA pool a call or send an email if you have any questions or concerns.
Parking
Parking Summer Swim Season is tricky! 3:30 practice time in particular will be most impacted until school gets out.
Please do not park in the 4 spaces designated for childcare parking.
Please try to carpool!
It is okay to drop your swimmer off and circle around until you find parking.
We ask that you do not park along College Rd. While police have not ticketed, they have threatened to do so in the past. Plus parking along College Rd does impact visibility for individuals leaving the facility.
YWCA policy on swimming before/after practice
Membership alone does not include use of the pool outside of practice times.

Purchase deadline #1 is Friday, May 9th. Those orders will be available for pickup the first week of June before our first swim meet
Purchase deadline #2 is Friday, June 13th. Just in time for the last few weeks of the season.
WHAT TO EXPECT AT SWIM MEETS
Swim meets are a highlight of the summer! Swimmers do not have to attend meets but are strongly encouraged to do so.
We will communicate by email and at practices the deadline to "opt in" or "declare" to each meet. These deadlines are very important.
We use a software called Swimmingly to manage your swimmer's entries and to manage the swim meet.
Swimmers will chose their own individual events and coaches will choose the relays. If a swimmer is on a relay it is important to make every effort to attend the meet.
Swimming is an individual sport in terms of improving times and competing against other swimmers. It is a team sport in that we earn points with the overall placement of swimmers and with the relay events.
While swimmers make every effort to swim their best, and coaches do their best to teach the strokes correctly, occasionally swimmers will get "DQ'd" or disqualified from an event. For families and swimmers new to the sport this is often a big surprise!
Click here for a DQ cheat sheet!
