Supervisors and OnCorps

During the 2020-21 program year, site supervisors are expected to verify member service hours through OnCorps. Each site has identified a primary supervisor who will consistently approve member hours in the OnCorps system. Please note that a site may choose to have only one supervisor who approves logs.



Due Dates:

For every service week (Monday through Sunday), members must submit a detailed timesheet of their service hours. For each service week, a timesheet is due for supervisor approval no later than the following Monday. Supervisors should then review these timesheets by Wednesday.

Example:

For the service week of Monday, 9/14 through Sunday, 9/20, members must submit timesheets for approval no later than Monday, September 21, 2020, and supervisors should review these timesheets by Wednesday, September 23, 2020.

Guidelines to Approve Member Timesheets

The following guidelines should be used to determine if a member’s timesheet may be approved by the supervisor. Supervisors should ensure that members have demonstrated the following when entering their timesheets:

1. Time-in and time-out hours are true and accurate.

2. Times have been assigned the appropriate service type (training, service, or leave)

3. A service description has been entered in each description field and describes training or meaningful service activities.

a. Service descriptions should vary for EVERY day of service described on a timesheet. No two days on a timesheet should have the exact same description.

b. Use AmeriCorps language on timesheets; for example, members should NOT use words such as “work,” “worked,” describe any prohibited activities, include administrative language, etc.

4. All acronyms or special terms to describe service activities specific to your agency or field should be written in the “Comments/Notes” section at the bottom of the timesheet.

a. Ex: If the member describes helping clients complete “PFA’s” in their service description, they should use the Comments/Notes section to write out “PFA: Protection from Abuse.”

5. The member has not served any longer than 6 consecutive hours of service without taking a minimum 30 minute break.

6. While the system should ensure that this is true by itself, Supervisors should confirm that all hours served are reported as whole hours, or in increments of .25, .5, or .75.

7. The member’s total hours do not exceed 18 hours for any one day of service.

8. The member will enter “Leave” for any business days (Monday – Friday) that they did not serve. A timesheet should still be submitted even if a member was on leave for the entire week.

9. Member should be serving a minimum of 38 hours per week.

10. Member timesheets must be approved on time. Member timesheets cover a period that begins on Monday and ends the following Sunday.

b. Supervisors must review service logs by or before Wednesday of each week.
