Safe Environment Requirements for Adults* on the March

*ADULT refers to any participant who is 18 years or older and who is not a high school student.

INSTRUCTION TO INDIVIDUAL ADULT PARTICIPANTS (3 STEPS)

  • Several months before the March, any participant who is not a high school student (and/or is 18 years or older) needs to contact the parish or school with which they are associated and request copies of his or her child protection documents. He or she also needs to ask them to double check to ensure that he or she has been entered properly into the Diocesan Child Protection database. If a mistake is made regarding this data entry, he or she may be excluded from the participation in the trip for this year.

If you have NOT already gone through the process of becoming certified to work or volunteer for the Catholic Church, you need to follow these steps:

STEP 1. You have to go through a background check with your Diocese. That means turning in to your parish or school an "application form" to be a volunteer within the diocese. For the Diocese of Baton Rouge, it can be found on the following website:

http://www.diobr.org/images/Eapps_Volunteer_Application_formfields.pdf

Turn in hard copy to your group leader. DO NOT LEAVE ANY INFORMATION BLANK (years, phone numbers, references, etc)

STEP 2: You have to take a Diocesan class on Child Protection. In the Diocese of Baton Rouge, you have to watch a one-hour video on child protection followed by a ten-question quiz. This quiz may be taken multiple times until you answer all the questions correctly. After the quiz, print the certificate, make a copy for yourself, and send the certificate to your parish or school, either by mail or email. Just create a log in and follow the instructions at:

Safe and Sacred
Follow the directions or taking the Safe in Place Online Course and Quiz– “*NEW Training-Recognizing Child Abuse” Select Language. (Make a note of your username, password and certificate number before leaving the website! Everything is case sensitive!)

STEP 3: You have to read through and sign the signature pages at the back of the Diocesan Code of Ethics. For the Diocese of Baton Rouge, it can be found at http://www.diobr.org/images/Code_of_Ethics_English.pdf

Sign and return the last page to your Group Leader.

Send all these items together to the Church or School with which you are associated. Follow up to ensure that they were processed correctly and ask for copies of these documents for your own files. I know this process is arduous, but it is an absolute prerequisite for all adults attending the trip.

INSTRUCTIONS TO GROUP LEADERS WITH PARTICIPANTS

FROM THE DIOCESE OF BATON ROUGE:

Please triple check that your participants information (EAPPS, Code of Ethics, Safe & Sacred Training) has been correctly entered into the diocesan database. Check with the child protection officer at your church or school to be absolutely certain. In previous years, many group leaders were frustrated to find out that what seemed like minor typos almost kept chaperones from being able to participate in the trip. If you have questions about someone's status, speak with your child protection officer and if necessary contact Amy Cordon at the Diocesan Office of Child Protection at 225-387-0561.

FROM OTHER DIOCESES:

Please triple check that your participants information has been correctly entered into your diocesan database. Check with the child protection officer at your church or school to be absolutely certain. Next, you need to make a request to your Diocesan Office of Child Protection asking that they send a formal letter listing your adult participants and guaranteeing that they have met all safe environment requirements of the U.S. Bishop's Charter on Child Protection. This letter should be mailed to me at St. Michael High School, P.O. Box 86110, Baton Rouge, LA 70879.

The deadline to request the letter from your Office of Child Protection is Monday, December 5.

The deadline to have all of your participants cleared and their paperwork processed is Monday, December 5. THIS STEP IS CRITICAL FOR PARTICIPATION IN THE MARCH!

Thanks in advance for being extremely conscientious about these matters.
