During Open Forum, each attendee may address the board for up to three minutes. A director  or manager may briefly respond to statements made or questions posed. Speakers must  observe rules of decorum and not engage in other disruptive behavior. If a speaker is in the  middle of a sentence when time is called, he/she may finish their thought before sitting  down. The time guidelines ensure that others will have an opportunity to speak. Speakers may  not allot their time to others. All persons must follow the Meeting Rules listed at the bottom of  this agenda. 

MEETING RULES: No audio or video recording allowed by attendees. However, the secretary  may record the meeting to aid in the preparation of minutes. The recording is deleted once the  minutes have been prepared. As provided in the "Open Meeting Act," members may observe  the meeting but do not have the right to participate in the board's deliberations or votes.  Members may address issues during the open forum portion of the meeting. If attendees  become disruptive, they may be expelled from the meeting and/or fined.

Proposed Changes to Architectural Application and Review Process

Dear Neighbors,

Please find enclosed the proposed new sections of the Architectural Policies document. The Architectural Policies document is considered an operating rule and is distributed for your review.

Over the past year, the Board has worked to evaluate, revise and improve the framework of the Property Improvement Process. This has involved countless hours of understanding the laws governing this process, the industry standards, past practices, and how it all can best be incorporated into Walden Woods. The focus is to ensure that your requests for architectural improvements are given due consideration in a transparent manner. The new processes do this by providing clear definitions, expectations, rules, and procedures so everyone involved has the same understanding. The process is quite involved as it encompasses a lot of requirements from State and County law, HOA guidelines, and WWHOA governing documents.

Please insert the following sections after page 30:

Property Improvement Application Submittal Procedure Property Improvement Application Review Process

And insert the following three forms after page 32:

Property Improvement Application
PIA Revision Request
WWHOA Architectural Documents Electronic Delivery and Receipt Agreement

If any discrepancies exist between these new documents and any older sections of the Architectural Policies document, the new documents prevail. The following pages are made obsolete by these changes and should be removed or crossed off:

Numerous changes have been implemented and the more significant ones are noted here. It is strongly recommended that you read the documents enclosed to understand the new processes and timelines for getting your project approved.Please allow up to 30 days from acknowledged receipt for review to occur.

  • Require Electronic Agreement to communicate via email with ARC.

  • Allow PIA to be submitted via email with signed agreement.

  • Clearly list the steps that are followed to complete a PIA.

  • Clearly list the steps that are followed when reviewing a PIA.

  • Add Definitions sections for common terms used in the document.

    • Add possible review site visits during and after completion of project.

    • Require Architectural Committee review and approval for every PIA.

    • New Property Improvement Application and PIA Revision Request forms.

      New Agreement allowing email PIA submittal and communication with Architectural Committee/Board.

       

      Changes to operating rules are dictated in the CCRs, Article III Homeowner Association, Section 7 (c) Adoption and Amendment of Rules.  It reads as follows:

       

      Association Rules may be adopted or amended from time to time by majority vote of the Board, provided, however, that no Association Rules or amendments thereto shall be adopted by the Board until at least 30 days after the proposed rule or rule amendment has been published in the Association newsletter, if any, or otherwise communicated to the Owners in writing. The notice describing the proposed rule or amendment shall also set forth the date, time and location of the Board meeting at which action on the proposal is scheduled to be taken.

       

      Any duly adopted rule or amendment to the Rules shall become effective immediately following the date of adoption thereof by the Board, or at such later date as the Board may deem appropriate. Any duly adopted rule or rule amendment shall be distributed to the Owners by mail.

Dear Neighbors,

How Do You Thank Someone for Over 15 Years of Service

 

The Board of the Walden Woods HOA is made up of committed neighborhood volunteers who dedicate their time and energy to help keep Walden Woods the special community our families all enjoy.

 

One of the many members who has served WWHOA for more than a decade and made it look easy is Diana Butler.  

 

Jim and Diana Butler moved into Walden Woods 2004. Diana jumped in with both feet and made her rounds supporting the neighborhood in many committee roles. She joined the board and has served as president since 2010.

 

Diana’s commitment to the service of others, her ability to get to the real meat of the issue, and her cool head, has been an incalculable contribution to our community.

 

It has been a year of change and now so too for the Butler’s. The board sadly accepted her letter of resignation.  We will miss them. If you would like to share notes of encouragement or reflections of positive ways Diana’s service impacted you personally or the neighborhood please do by sending her an email to vp@waldenwoods.org or delivering a note to the WWHOA VP. 

 

Introducing our New President

 

The Board has appointed Stephanie Hudson as Board President to complete Diana’s term. The Hudson’s moved into Walden Woods in 2019 and Stephanie immediately got involved by becoming co-chair of the Walden Woods Events Committee.  Along with much enthusiasm and energy, she brings a wealth of experience in communications, marketing, and organizational skills.

 

Introducing our New Treasurer

 

After 10 years of dedicated service Netti Johnston has resigned as treasurer and continues to serve on the board as vice-president and Common Area Committee Chair. This transition was possible due to her meticulous record keeping standards and detailed documentation of duties. The Board has appointed Heather McIntosh Board Treasurer to complete Netti’s term.  Heather has been a resident since 2004.  The board was drawn to her attention to detail, regulatory experience, and willingness to manage this complex position.

 

Volunteer Appreciation

 

Our community is grateful for the many volunteers who serve in all their many capacities.  Walden Woods would not be the special neighborhood it is without our dedicated and creative volunteers.

 

Getting Involved

 

Serving your community in whatever capacity that you can makes a very real impact on you and your neighbors. Please consider becoming a member of the board or any of our committees. Nominations for the Board of Directors happen in the May/June timeframe with terms beginning in September. Feel free to ask anyone on the board  or other volunteer about their activities and how you can make a difference.
