This privacy notice tells you what to expect us to do with your personal information when you make contact with us or use one of our services. We keep our privacy notice under regular review to make sure it is up to date and accurate.

How We Use Your Data

Personal data held about students of SHMT :

• Name

• Name of parent/guardian (for children only)

• Email address (for children, email address of parent/guardian)

• Postal Address (for children, postal address of parent/guardian)

• Telephone Number (for children, telephone number of parent/guardian)

This data is held for the purpose of delivering the services agreed in the signed Agreement for Private Music Tuition (where the student is under 18 years old, this agreement is signed by the student’s parent/guardian).

This data is used to provide students with information about their lessons, for invoicing and to enter students for examinations and music festivals. Data is only shared with third parties, such as examination boards or teachers contracted by SHMT, with the explicit consent of the student (or their parent/guardian). All data held comes directly from the student themselves (or their parent/guardian) and is updated as soon as we are notified about any changes.

Where we provide services directly to children, any contact information we hold is for their parent or guardian. We never use children's full names on our website.

We will not share your information with any third parties for the purposes of direct marketing.

Keeping Your Data Safe and Secure

Student name and email address (student or parent/guardian) are stored electronically in a third party accounting system which relies on advanced, industry-recognised security and virus safeguards to keep all data private and protected. This includes password-protected sign in, firewall protected servers, and the same encryption technology (128-bit SSL) used by the world's top banking institutions. Data is stored on servers protected by multiple layers of network, storage, logical, and physical access security. These servers are located in multiple data centres for redundancy, and they provide backup and disaster recovery capabilities. This system is only accessible by the owner of SHMT and anyone engaged by them for bookkeeping purposes.

Postal address is stored on paper versions of the signed Agreement for Private Music Tuition. These are filed securely in a locked music studio.

Name and telephone number are stored in a contact file on security protected mobile devices.

Seeing What Data We Hold About You

Data held is shown on invoices produced for students and on the signed Agreement for Private Music Tuition. Copies of these can be made available if required from suehayes@shmt.co.uk. Personal data is anonymised one year after the termination of the signed Agreement for Private Music Tuition.

Using Our Website

Where we provide links to websites of other organisations, our privacy notice does not cover how that organisation processes personal information. We encourage you to read the privacy notices on the other websites you visit.

When you visit www.shmt.co.uk, we use a third-party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out such things as the number of visitors to the various parts of the site. This information is only processed in a way that does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website.

If we do collect personal data through our website, we’ll be upfront about this. We’ll make it clear when we collect personal information and we’ll explain what we intend to do with it.
