Serves as the primary coordinator and designated spokesperson
Primary contact between Committee and ERHS administration, staff, parents, students, and staff at Grad Nite location
Serves with the Chair and acts in the Chair's absence
Creates the master calendar for all communications and activities
Works with ERHS staff to arrange to and from ERHS and Grad Nite Site (start leaving school by 10:00 pm and last bus returns by 6 am)
Manages the fiscal activities including accounts payable and receivable
Responsible for writing checks for reimbursements and vendor payments
All expenditures need prior approval by officers
Takes minutes at meetings, updates web site and sending to Google drive group
Informs the ERHS community (parents, staff, students, and community at large) about meetings and activities through robo calls, morning announcements, email, etc.
Handles requests regarding ERHS facilities, staff, documents, etc.
Keeps 2023 parents, students, and class officers informed of all Grad Night updates/events/requests for volunteers, etc.
Works with vendors to procure entertainment such as caricature artist, DJ, etc. (May be limitations on decorations, depending on the venue.)
Coordinates food for fundraising events
meets with the venue to discuss food and beverage options
if needed, arranges the receipt of donations for concessions and venue.
Schedule/oversee monthly fundraising events and coordinate a chairperson/fundraising team for each fundraiser.
Writes letters, make calls/visits to corporate and local businesses seeking sponsorship.
Reach out to Chamber of Commerce, City Government, Greenbelt Foundation, American Legion, etc. for monetary donations
Sends letters to elected officials at County Council Districts 1, 2, 3, 4, 5; Delegates and Senators of Districts 23, 23A, 22, 21; Maryland US Senators and Congressmen District 5; Greenbelt Mayor; PGCPS Board Chair and District 2 Board Member
Propose and secure gift items for Grad Night student attendees including Grand Prize, gift cards, small gifts, and a parting gift for all ERHS Grad Night attendees
Off-duty ERHS security for the event traditionally work the event. They must be paid.
Coordinates with the Entertainment chair, entertainment company, and volunteers to direct the set-up at Grad Nite site
Collates a list of clearly described themes based on Committee Members' recommendations and creates ballot
Reports voted theme to Grad Night Committee
Coordinates the student t-shirt design competition and Committee's vote of winner
Acquires names of seniors for the back of the t-shirt from Senior Administration
Works with a t-shirt company
Recommend items to sell during Spirit Week, obtain them, and volunteer to sell them during lunch periods or online
Coordinates the Grad Night ticket sales and schedules volunteers to sell tickets during lunch periods in April, May (T-Shirt Distribution only) and Grad Night check-in
Updates and photocopies student contracts to be sent home through English teachers and also available during times of sales
Coordinate parent volunteers to assist the night of the event
Purchase/borrow, creates, brings to the site, and decorates the location. (May be limitations on decorations, depending on the venue.)
