Officer Duties and Descriptions
President:
Attends Student Activities president training and one other training of interest. In the past, they have offered trainings in event planning, promotional materials, UPAC funding, etc.
Spearheads GWGSS.
Creates agendas for GWGSS officer meetings.
Exists as public face of the organization, meeting monthly with the WGSS Director of Graduate Studies to express student concerns and convey organization needs and upcoming events.
Serves as Co-Conference Chair in the event that no Conference Chair elected.
Delegates tasks to officers.
Vice President:
Attends Student Activities training and one other training of interest. In the past, they have offered trainings in event planning, promotional materials, etc.
Manages email correspondence between GWGSS and different university, community, and business entities.
Exists as public face of the organization, especially at events and meetings where the president cannot be present.
Takes on presidential duties in the event that the president cannot be present.
Serves as Co-Conference Chair in the event that no Conference Chair is elected.
Treasurer:
Attends Student Activities treasurer training at beginning of school year.
Interacts frequently with ASA and UPAC.
Fills out UPAC request for conference funding; works with Committee Chair closely for this.
Represents GWGSS at UPAC funding decision meetings.
Submits all forms for purchase reimbursements.
Handles all purchase orders.
Draft fundraising emails for the secretary to distribute
Secretary:
Records minutes at GWGSS officer meetings.
Assist President, Vice President, Conference Chair, and Treasurer with email correspondence.
Helps create forms and surveys for distribution.
Distribute event flyers through emails.
Member-at-Large (Graduate Representative):
Represents GWGSS and graduate student voice at all required meetings.
Attends monthly Faculty Advisory Committee.
Attends monthly Departmental Meeting.
Serves on other ad-hoc committees as they come into existence.
Writes brief report of these meetings within 24 hours and emails these reports to wsgo.officers@gmail.com.
Public Relations and Media Officer:
Creates flyers for GWGSS events including conferences, picnics, etc.
Should be familiar with graphic design and/or flyer creation programs.
Creates logos for conference and selects “swag options.”
Creates design for printed conference program.
Maintains and update GWGSS website.
Works with President to approve Facebook posts in GWGSS Facebook Group.
Conference Chair:
Assists in the recruitment of members for conference committee.
Delegates tasks to conference committee.
Oversees decisions related to catering, conference “swag,” volunteers, and the conference program.
Works with the conference committee on inviting a keynote speaker and organizing panels.
