Board Positions
President
Preside at all Booster Meetings
Appoint committee chairpersons as needed and participate as member ex officio of all committees
Serve as the primary representative and spokesperson for the band booster organization
Participate in the nomination and election process of officers
Coordinate with Treasurer to co-sign all checks
President-Elect
Attend all Booster Meetings
Assume all duties of the President in his/her absence
Prepare to assume duties of President the following year
Secretary
Attend all Booster Meetings
Record and maintain minutes at all Band booster meetings
Post all meeting minutes on the band website
Treasurer
Send the band’s bank ledger to the PTA treasurer at the start of each month
Communicate regularly with the band director to take care of invoices, deposits, reimbursements, etc.
Present a report on the current financial status at all Booster Meetings
Keep accurate records of funds received and disbursed
Deposit all money collections in a timely manner
Maintain that expenditures remain within the approved budget
Communications Chair
Attend all Booster Meetings
Send out an e-mail every other week to those on the mailing list regarding upcoming events, announcements, results, etc…
Obtain information from the officers and Band Director that should be included in each e-mail (Meetings, dates, announcements, etc…)
Post meeting minutes and occasional news updates to the Grant Band website
Post news and reminders on the Grand Band Facebook page, Instagram
Update the Grant Band calendar as needed
Fundraising Chairs
Attend Booster Meetings
Coordinate fund raising efforts associated with your particular fundraiser with band director
Coordinate with band director the delivery and distribution of orders
Hospitality Chair
Attend all Booster Meetings
Coordinate the donation of bake sale items, water, and coffee at designated performances and events if food will be sold.
Keep track of coffee maker, urns and band food-related supplies. Replenish when needed. Items are stored in the band room closets.
Arrange set up and tear down of snacks and drinks at events
Arrange for snacks for musicians when necessary
Sweet Sound of Jazz Team (5-8 members) - if this event takes place
Organize event (which typically takes place in February) including theme, decorations, and food
Track and procure donations for auction, sponsorships, and in-kind donations
Oversee planning, organizing, and receiving of rental equipment for event
Oversee set-up and clean-up of event
Manage software associated with ticket sales, auction items, and check-in/check-out at event
