Volunteers are scheduled for the same repeating shift weekly, unless other plans are made between the Volunteer Manager and the volunteer.
Volunteer schedules are determined based on the volunteers’ availability and the current openings.
Volunteers are expected to commit to their volunteer shift for a minimum of three consecutive months or at least 25 hours.
Volunteers may request a change in their volunteer shift time or position at any time, but it is at the discretion of the Volunteer Manager whether this will be permitted, based on the current volunteer schedule.
Viewing Your Schedule:
Locate the “schedule” tab on the homepage.
Enter the date range you are wanting to view and select “filter shifts”.
Below the date selection, there will be a list of shifts. These are the shifts you are assigned including the activity, the date, and the time the shift will take place.
You are able to decline or confirm your scheduled shifts. Declining a shift will remove you from the schedule but please still email your Manager to let them know you declined the shift.
Tracking volunteer hours can benefit the rescue greatly; hours are used as data to represent the program and to apply for grants or other forms of funding to support the kitties we care for.
If you are on the schedule for a weekly repeating shift, your hours will track and log themselves and you do not need to do anything further. If you are not on the schedule such as impromptu volunteering or doing remote work, you will need to log your hours manually.
Logging hours for unscheduled volunteering:
Select the “Hours” tab at the top of the home screen.
Select the activity you are logging hours for such as Clean Team or AM Cat Care.
Select the date you completed the hours on and enter in the amount of hours completed and press Save.
Locate the Opportunities Tab at the top of the homepage. Select the “Opportunity LIST”. Do not select “Opportunity Calendar”.
2. Scroll through the list of opportunities/assignments to locate the activity you would like to sign up for.
3. Select the type of activity you are looking to pick up a shift for by clicking on the activity name link.
4. You can filter the shifts by the days and times you are available to volunteer.
5. Locate a date and time you would like to volunteer on and select “sign up”.
SAFe Rescue expects that all volunteers regard their volunteer shifts with the same consideration and respect as a paid position. Unexpected absences causes challenges for fellow volunteers and staff, and more importantly, interrupts the regular routine built around best serving our feline friends.
Arriving for your scheduled shift: please be sure to arrive no earlier than 5 minutes before your shift start time and no later than 5 minutes after your shift start time. Arriving earlier may result in staff not being prepared for you yet and arriving late may result in staff carrying on with the assumption you will not be attending your shift.
Procedure for all absences
Email volunteer@seattleareafelinerescue.org to inform staff on which shift you will be missing.
Provide staff with as much notice as you are able so staff can work on finding coverage for your shift.
Excused Absences
For an absence to be considered excused, the following conditions must be met:
Give a minimum of 48 hours notice if possible.
An illness or an unexpected emergency circumstance will not require 48 hours notice.
If a volunteer is frequently having more than two excused absences per month, a check-in with the Volunteer Manager may be required.
Unexcused Absences
An absence communicated within 48 hours of your shift will be considered unexcused.
More than two unexcused absences a month will require a check-in with the Volunteer Manager to discuss future scheduling.
No Shows
If a volunteer does not show up for their scheduled shift and has provided no notice to the rescue, the absence will be considered a no show.
After two no shows, the volunteer will be removed from their scheduled shift and the Volunteer Manager will begin filling the vacant shift.
Leave of Absence
Any absence over four weeks must be communicated to the Volunteer Manager. To be considered a leave of absence, the following conditions must be met:
When possible give at least two weeks notice and communicate a return date.
Volunteers may be removed from the schedule at the discretion of staff & may have to contact the Volunteer Manager to be added back onto the schedule upon return.
Dismissal from Volunteer Program
Violation of Attendance Policy as outlined above may result in removal from the volunteer program at the discretion of the rescue staff.
