Roles

Committee Chair / Coordinator – Oversees planning, sets goals, runs meetings, and keeps the fundraiser on schedule.

Event & Logistics Lead – Handles supplies and setup/cleanup needs.

Volunteer Coordinator – Recruits and schedules parent/staff helpers for shifts, sales, or event support.

Roles

Committee Chair / Coordinator – Leads the committee, sets timelines, and ensures all activities (party, ceremony, fundraising) stay on track. This includes ensuring all school protocols, processes, and procedures are respected from start to finish.

Fundraising– Organizes fundraisers specifically for 5th grade activities (e.g., spirit wear, bake sales). Also, creates goals for the money raised.

5th Grade Auction – Find vendors to donate gift cards or experiences, set up auction, manage auction, distribute prizes. 

Yearbook – Coordinate with KDM and 5th grade families to collect school portraits, and pictures of students, coordinate and purchase the year book for the kids to have a memorable keepsake.

T-shirts – Collect sizes, decide on a design, coordinate signatures with the school and then place the order and manage in-school distribution. 

Treasurer / Budget Lead – Tracks income/expenses and reports back to PTA/committee.

End of Year Party – Plan, organize, and execute the end of year party to help the 5th graders celebrate the memories created.

5th Grade Dance – Coordinate with the other Rockaway elementary schools to execute a Dance to Remember!  

Moving Up Ceremony – Coordinate with Principal Rawlins to execute a moving up ceremony. Includes cake and coffee after in cafeteria to celebrate this school specific, memorable event.

Roles

Committee Chair / Coordinator – Oversees planning, sets the calendar (e.g., Teacher Appreciation Week), and coordinates with the PTA and principal.

Member – Help with planning, ideas, shopping, preparation and/or distribution

Volunteer – Help with individual Teacher Appreciation activities when available.

Games & Activities Lead – Plans carnival games, prizes, entertainment (bounce houses, face painting, etc.).

Food & Concessions Lead – Coordinates food vendors, concessions, or snack sales.

Sponsorships & Donations Lead – Secures local business sponsorships, raffle prizes, or supply donations.

Logistics & Setup Lead – Handles layout, equipment rentals, permits, and event-day setup/cleanup.

Communications & Promotions Lead – Designs flyers, sends announcements, posts on social media, and manages ticket pre-sales.

Volunteer Coordinator – Recruits and schedules parent, teacher, and student helpers for booths, food stations, and clean-up.

Food & Supplies Lead – Plans the BBQ menu, organizes food purchases/donations, arranges grills/coolers, and ensures all supplies (plates, napkins, utensils) are ready.

Grill & Food Prep Team Lead – Organizes parents/staff to cook, serve food, and handle safe food prep on the day of the event.

Volunteer Coordinator – Recruits and schedules helpers for setup, serving, monitoring stations, and cleanup.

Staff Support Lead – Ensures teachers/staff get meals and breaks, and coordinates with the PE teacher for timing and needs during the event.

Communications Lead (optional if needed) – Creates flyers, emails, or signup forms for families to donate food items or volunteer.
