It might be helpful to create a personal Google Drive account to store your RCPS files. However, simply sharing the files from your RCPS account to your personal account will not save your RCPS information. When your RCPS account is deactivated, you will lose access to these shared files.
⭐ It is best practice to download your RCPS Google Drive files, then save them to an external drive or to a personal Google Drive account.
Student information and other highly-sensitive information stored in your Google Drive should not be kept/downloaded for personal use. We recommend that you create a Google Folder in your RCPS account titled “Things to Keep” and begin moving the folders/files (lessons, videos, pdfs, etc) that you want to keep into this new folder. Then, when it comes time to download your account’s files, you can simply download this one folder.
When deciding which files to keep/download, it is important to remember that you can only download files that you own in Google Drive. If there are files owned by co-teachers and other collaborators that you want to keep, then make a copy of the file for your own records.
It can take many, many hours to download all of the files you wish to keep, especially if this includes large PDFs and videos. Plan accordingly!
If there are any emails that you would like to access after your Google account deactivates, we recommend that you forward those emails to a personal email account. You do not need to have a personal Gmail account to keep these RCPS emails - any personal email account will do!
Over the years, teachers and students have accessed dozens of websites using the “Sign in with Google” single sign-on option. When your RCPS account is deactivated, you will no longer be able to access these websites with this login. If you would like to keep any work you created on these websites, then you will need to go to the website(s) and download any files you wish to keep.
This is not a complete list of websites that use Google’s SSO option, but it is a list of some of the most commonly used sites in RCPS.
