Chinese Speaking Congregation (CSC) Ministry

CSC Worship

CSC - Worship - Ministry Head

  • Overseeing the CSC weekly worships in terms of time used, content, music, sermons, sound, setting...etc.

  • Assist CSC pastors of Worship matters

  • Overseeing the Praise teams and the choir. Provide support and advice as needed.

  • Arrange weekly Praise teams roster

  • Arrange special events such as Christmas celebration, Good Friday and others as needed.

  • Prepare annual budgets

CSC - Worship - Vice Ministry Head

  • Working as partner with Head to share the loads

  • Act as acting Ministry head when he/she is absent.

CSC Caring

CSC - Caring - Ministry Head

  • In consultation with Caring Pastor and deacon, plan, oversee and administer the ministry plan and strategies of Caring ministry.

  • Represent Caring ministry to attend church executive board meetings and provide reports to membership quarterly meeting; is the liaison among pastors, deacons and other ministries on behalf of caring ministry.

  • Coordinate and support caring ministry coordinators in various areas under caring ministry; working with the caring leadership core team to plan and promote the caring culture in the church.

  • Prepare and administer ministry budget, operational manual, ministry reports and keep record of core group meeting minutes; and participate in the administration of Caring Fund.

CSC - Caring - Fellowship Coordinator

  • In consultation with Caring pastor and ministry head, oversee the fellowship ministry; provide direction and guidelines to fellowships; coordinate and support various fellowships in the church.

  • Hold regular fellowship leaders meetings to promote communication among fellowships, encourage inter-fellowship activities, support to church vision and ministry strategies.

  • Work closely with other caring coordinators to channel new comers and church congregants to various fellowships under the caring network

CSC - Caring - Small Group Coordinator

  • In consultation with Caring pastor and ministry head, oversee the cell group ministry and operation; provide direction, leadership, support and training.

  • Recruit, provide orientation, and co-work with middle leaders to provide care and support to cell group leaders.

  • Keep record of up-to-date cell group listing and cell group resources.

  • Work closely with other caring coordinators to channel newcomers and congregants to join cell groups under the caring network.

CSC - Caring - Welcome & Reception Coordinator

  • Administer and oversee the operation of the welcoming team and provide leadership to all team leaders and helpers.

  • Recruit, provide orientation, and schedule welcoming team helpers for each Sunday services to provide a warm welcome reception to worshippers.

  • Work closely with Caring Ministry Head and other caring coordinators to support caring initiatives.

CSC - Caring - Newcomers Care Coordinator

  • Administer and provide the welcome and care for church newcomers and help them settle in our church family

  • Recruit, provide orientation, and schedule helpers for newcomers care.

  • Provide leadership and support to care team members and follow up with the team regularly on status of newcomers.

CSC Christian Education

CSC - Christian Education - Ministry Head

  • Lead the Christian Education Ministry Core Group regarding the development of the curriculum of the CSC Sunday School including ad hoc classes to meet the specific needs of CSC and/or other ministries.

  • Identify and invite appropriate resources for CSC Sunday School classes and monitor progress by reviewing reports from each class teacher.

  • Plan for the development of existing CSC Sunday Class teachers, identify potential Sunday Class teachers and invite them to join CE ministry.

  • Coordinate with other Ministries with respect to church-wise events.

  • Develop the annual budget for Christian Education Ministry and monitor the expenses.

  • Lead core group quarterly meeting as well as attending and reporting to E-board on a quarterly basis and/or when requested by E-board.

  • At least once in every three months, lead the CSC Prayer Meeting.

CSC Outreach

CSC - Outreach - Ministry Head

  1. Planning

  • Determine strategy and overall of church wide outreach approach

  • Prepare annual operations/event planning

  • Form core group

  • Lead, coordinate (including cross ministry efforts) and execute annual plan and events

  • Coordinate core group meetings and lead discussions

  • Support MSG core group and MSG events

  • Prepare annual budget based on planned events

  • Review actual spend against budget each quarter and understand discrepancies for better planning

  1. Reporting

    • Prepare quarterly reports to EB and QMM

    • Attend EB quarterly meetings

Below are common ministries for the whole church, Chinese Speaking Congregation (CSC), English Speaking Congregation (ESC), Mandarin Speaking Group (MSG)

Children

Children - Ministry Head

  • Coordinate with pastors in Ministry vision and planning.

  • Attend and report/update ministry work at Executive Board and membership meetings.

  • Manage budget and control ministry expenses

Children - Ministry Head & Vice Ministry Head

In the absence of Ministry Head, the Vice Head will assume his/her duties above.

Following are the duties of Ministry Head and Vice Head pertaining to children and youth groups:

  • Budgetary planning

  • Oversee, execute and support all ministry work in worship, Sunday school and related events and programs.

  • Manage human resources, provide support and spiritual needs to core members and to identify/train potential leaders.

  • Ensure safety and security guidelines are followed and update Children Ministry Operation Manual.

Finance

Finance - Ministry Head & Treasurer

  • Establish annual budget for approval by Church members.

  • Plan, oversee and manage the overall finance of the Church. Act as one of cheque signing officers.

  • Develop and, where necessary, update Financial Policies and Operational Procedures.

  • Ensure that Finance Ministry core group members, delegates and helpers are appropriately informed, trained and compliant with church financial policies and procedures.

  • Review bank reconciliations and reports. Ensure accuracy and completeness of financial records.

Finance - Church Accountant

  • Develop accounting policies based on generally accepted accounting principles and assist Finance Ministry Head on the development and revision of the Operational Procedures.

  • Keep track of all income and process expenses, prepare offering reports and receipts.

  • Process payroll, update staff salary scale with Personnel Committee and apply adjustments, handle quarterly WSIB payments.

  • Prepare monthly bank reconciliations, quarterly financial statements and expense reports to ministry heads or coordinators for their review.

  • Prepare tax document. Coordinate with Public Accounting Firm for tax filing.

Information

Information - Ministry Head

  1. Determine strategy and overall church wide information direction; prepare annual operations plan

  2. Form core group, lead, coordinate (including cross ministry efforts) with IT support staff and manage annual plan and support activities such as website support, AV support, and office support

  3. Prepare annual budget based on planned activities

  4. Prepare quarterly reports to Executive Board and Quarterly Membership Meetings

Information - Vice Ministry Head

  1. Support Ministry Head to manage the above responsibilities

  2. Step in to the role of Ministry Head when the Head is not available

Information - Audio Visual Coordinator

  1. Form a team of helpers specialized in managing AV services and work closely with IT staff at Church.

  2. Plan and execute AV services primarily in support of weekly worship and other seasonal events e.g. church wide outreach events.

  3. Maintain custody/upkeep of AV equipment and documentation of equipment use/configuration.

  4. Recommend annual budget for AV services.

  5. Research and utilize new technology for church AV needs

Mission

Mission - Ministry Head

  1. Plan, prepare and execute the missions budget and plan

  2. Organize the ministry core group members to achieve ministry requirements

  3. Promote brothers and sisters to fulfil the operations about missions.

  4. Represent RHCBC to attend external missions functions, and represent RHCBC to respond to external correspondences with consultation from the pastor.

  5. Call and chair ministry meetings including the preparation of meeting agenda and meeting minutes for church records.

  6. Work with RHCBC Treasurer to disburse Missions support to missionaries and Christian organizations.

  7. Participate in the weekly prayer meetings, Executive Board meetings and Members’ Meetings.

  8. Assisting the Missions Pastor in missions event.

Facilities

Facilities - Ministry Head

The Facility Ministry is responsible for leading, mobilizing and executing the church functions according to the directions set out by the Pastoral/Deacon’s Board leadership team in the area of Church facilities.

  • Lead, mobilize and execute functions to support the directions set out by the Pastoral/Deacons’ Board in the area of Church facilities. Work closely and coordinate with other ministries to support church vision, direction and policy.

  • Responsible for the overall church building maintenance, specific repair, space/facility usage, safety and security.

  • Prepare annual budget and work plan for the Ministry, manage expenses.

  • Supervise the Church Administrator/Custodian and caretaker(s) to perform scheduled duties.

  • Organize and support core groups to take care of General Maintenance, Building Maintenance, Safety and Security.

  • Interface with local government departments (e.g., Police, Fire, Building Departments), external institutions, contractors and users of church facilities.
