Where do I go / what do I do to connect my calendar?
Go to https://app.revboss.com/calendar to connect your calendar.
Connect your calendar for appropriate mail service (e.g., Google, 365, etc.)
Agree to the Cronofy terms and services and link your account.
Select the appropriate account (i.e., the account that you use to manage your calendar).
Select your working hours.
You will be asked for a timezone while setting up working hours.
Working hours set your availability window. Your AM will not see availability outside of working hours you set.
Please make sure to block off holidays and OOO on your connected calendar, so that meetings can not be booked during these times.
Last, select your conference service on which you conduct your meetings (e.g., Zoom, Google Meet, Teams, etc.)
Why RevBoss built a calendar integration feature:
1. Speed-to-lead matters - businesses that engage with leads in five minutes or less are 100x more likely to convert opportunities. Think about the number of steps (and time!) required to forward a lead to a client so that the client can follow up on the email thread. Using calendar integration, we can instantly book meetings with up to ~60% of our leads.
2. Suggesting a specific time to meet increases lead rate - based on our research, we saw a specific call-to-action like “are you available Tue Aug 30th or Wed Sept 1st” outperform a generic call-to-action like “Any interest?” by as much as 2X. By integrating our client’s calendars, we can directly merge their availability into our messaging. Ex. “3pm Tues Aug 30th or 10am Wed Sept 1st” as well as auto populat a scheduling link that looks like this https://app.cronofy.com/book/zach_boylston
3. Everyone wants more meetings but no one likes booking meetings - both our clients and prospects don’t like the back-and-forth of booking meetings… longer reply threads mean less meetings. By booking meetings directly from the initial lead reply, we cut down on the work for our clients and prospects: win-win :)
How does this work?
RevBoss integrates with our client’s calendar, video conferencing service, and supports user-set working hours - giving RevBoss Account Managers a Calendly-like view of availability.
There are two way RevBoss can booking meetings for you:
1) Through our app
- We get a reply from a prospect accepting the time proposed or suggesting a day/time, “Hey how does tomorrow at 1pm PST work?”
- The Account Manager checks to make sure it’s still available and books the meeting.
- Client and the prospect receive meeting invites.
- Done. Meetings booked fast, with higher show rates, and no back-and-forth replies.
2) Through auto-generated scheduling link
- We are able to include a scheduling link for any client who integrates their calendar with RevBoss.
- This allows the prospect to open a separate page where they can select a day/time that works for them.
- Once selected, the prospect and Client will receive a meeting invite with conferencing info attached.
- Client will also receive an email from revboss.com confirming the meeting was booked including prospect details, and 'cc your account manager.
How much of my calendar can my Account Manager see?
No, we can’t see your pilates class next Thursday.
We are using cronofy.com to handle all the authentication and availability access.
All your account manager can see are grayed-out blocks that show your availability.
Here is a view of what the account manager sees when booking a meeting:
Do you confirm or reschedule meetings?
The invite will use the notification settings of your calendar. (more customization coming soon)
We do not reschedule meetings.
If the prospect needs to reschedule it will be up to the client. Please let your account manager know.
Your account manager can edit meetings within the app, but edits made by the client will not be reflected in the app.
If RevBoss is already working with your scheduling link account, your Account Manager may choose to activate our calendar integration as a replacement simply because it integrates more tightly into our product and process.
You may continue to use your own scheduling link and our bullet point offering will continue to work.
Working hours allow clients to add additional restrictions to their availability beyond events already on their calendars. Your account manager will not be able to see availability outside of the working hours you set.
Clients can edit working hours by returning the Calendar page.
One good compromise is to set strict working hours. Ie. If you only want meetings from RevBoss on Tuesday from 9am to 1pm, we can support that.
Or, if you really don’t anyone touching your calendar, you should still take advantage of the availability merge fields as this will increase the lead rate of your campaigns.
Clients should still reply to the lead email forwarded by their account manager.
While the meeting is booked, replying to the thread closes the loop vs just sending a calendar invite.
We are working on ways to automate this in the future.
Account managers will forward you the original email thread noting if they booked the meeting (you should still reply to the prospect confirming)
Clients will still receive a “lead tagged” email from the app when the lead is tagged.
Clients will also receive a “meeting booked” email when the meeting is booked.
Yes, but updated days/times will not show up in the app.
Likely, yes. Your account manager will be able to select a time from any calendar connected to your organization in the app.
If John sends an email we could book the meeting on Sally's calendar and vice versa.
The only catch is that the invite would come from Sally.
