To be eligible to request materials from the lending library you must follow the guidelines about material returns that are outlined below. Failure to do so will result in being unable to request more materials until currently borrowed materials are returned.
24/25 End of Year Curriculum Pick Ups
Below is a list of drop-off locations where materials can be given to a PEARL teacher or staff member rather than shipping the materials back to us.
Please make sure that all items in your return are boxed up together and/or clearly marked with your family name.
You are always more than welcome to bring your returns into the office if you will be in the area during office hours as well.

Requesting Materials For the Next Year
When the library opens for pre-checkouts for the following school year, you may request items from the library to use for next school year as long as it does not put your over your family limit. Additionally, the items need to be added to your student's SLP for the following year as soon as the SLPs are filled out.
24/25 School Year
The last day of school is June 13th. The due date for materials due at the end of this school year is June 17th. All materials should be returned by this time. Any required materials that are not returned by the 17th will cause your library account to be suspended until those items are returned.
In order to be able to check out materials for the next school year:
You must not be over your family limit (45 items per enrolled student)
All items on you non-consumable list received from purchase order requests during the current year and before must be returned or they can be transferred to your library list if you will be using them the following year. In this case they must be listed on a student's SLP for the following year.

Borrowed vs Purchased via PO Request
Please login into your library account to see what items you have checked out from the library and when they are due.
At the end of each school year you will get an email that documents the newly purchased non-consumable items you ordered throughout that year. This list will not include the items you borrowed from the library.
Book Sets
Please make sure that all book sets (Book Shark, NOEO, etc) are returned with all of their books. If you are unsure of what books are considered part of a set, please consult the catalog on the library website. Booklists should be included with the set.
Shipping
Packages 20lbs or less must be returned through the post office at Ground Advantage Rate (not with UPS). Shipping through UPS for larger packages is fine.
If your return consists of books and CDs/DVDs you can ship it as media mail through the post office as this is often the cheapest way to send materials of this kind.

Postage Claim Reimbursement
We can only accept Postage Claim Reimbursement Forms for packages that were shipped through an official USPS post office or UPS. We are not able to accpet or process reimbursement for any other carrier or third party shipping service or store.
Additionally, we can only reimberse for the cost of postage. We can not reimburse for added charges such as boxes, packing materials, added insurance, home pick up, overnight delivery, etc. This includes purchasing pre-paid priority envelopes or boxes. Please do not use priority envelopes/boxes if you plan to apply for reimbursement. They will not be processed.
If Postage Expense Claim Forms are not sent with the returned materials (put in the envelope/box before it's sealed) you must send them within 30 days of the date the materials were sent. Claims sent after 30 days will not be processed.

Lost or Unreturnable Items
Any non-consumable items that are lost and do not get returned will have to be purchased by the family. Also, any non-consumable item that has been used as a consumable (written in, colored in, etc) will not be accepted when returned and must be purchased by the family.
Please do not dispose of any non-consumable that breaks while in your possession. Even if an item broke, if it is not returned it will have to be purchased by the family.
Your PEARL allocated funds cannot be used to pay for unreturned non-consumables.
Lending Library Reserve Process
You can place items on reserve within the online library system. Your request will be processed and you'll be sent a receipt from the library showing what you have checked out. If you need more information on the items you requested or where you are in line for a reserve request that has not yet been checked out to you, you can learn more by logging into your library account.
You will receive email confirmation when the requested materials have been shipped to you.
Library Guidelines
All library materials are considered non-consumable unless they are marked as a consumable in your email confirmation.
All library items in a family's possession must be listed in a student's SLP.
Items can only be checked out for subjects that correspond with classes students are currently enrolled in with PEARL. This means that you cannot check out math materials if your student does not have math listed on their SLP. The only excpeption to this is the 'Novels and Readers' section of the library. Any enrolled student can check out reading books.
All items that have multiple components and are checked out as a single item must be returned as a set. This includes laptops and tables with their chargers, disc (CD, DVD, CD-Rom) sets, manipulative kits and boxed book sets. Items missing all their components will have to be purchased by the borrower.
The maximum amount of library items that can be checked out is 45 per enrolled student in your family. If you have 2 students, your family limit would be 90.
Please do not check out matierals specifically for use during the summer. We are not meant ot provide materials for months when school is not in session and there is no reporting.
Library Due Dates
You can disregard due dates for laptops, tablets and musical instruments as they are exempt and may be used for the duration of your student's time in the program. They must be returned upon completion of or withdrawal from the program.
Library checkouts are intended to be for the school year they were requested for. If, at the end of that school year, you find that your student will still need the item during the next school year or you have a student in the grade below who will be using the same curriculum, you can hold onto it for the next year. However, at the end of the second year the item must be returned.
Exceptions to the two year rule, as long as the item is applicable to the student's SLP for the entire time the item is checked out, are:
Laptops and accessories (headphones, etc.)
Tablets and accessories (cases, etc)
Musical instruments
Purchased Materials Guidelines
All materials purchased through the PEARL program are the property of Quilcene School District. Therefore, all items marked as non-consumable must be returned at the appopriate time or be purchased by the family.
Items from your purchase order requests should be returned by the end of the second year, as with items borrowed from the library. However, if at the end of the second year you still need an item, you can transfer that item to your library list for next year. That item will then be considered a borrowed item and the two year rule will start over. Essentially, items purchased on your behalf will be able to be used for up to four years.
Items transferred to your borrowed list will count against your 45 item limit for the following year and will need to be on the student's SLP. If a family has already has 45 items out or they will not enrolled in the class the following year, the items must be returned.
To request items be transferred to your borrowed list, you must email the library at pearllibrary@qsd48.org. Items will not automatically be transferred to your library list.
Shipment Confirmation Emails
Each time a package containing materials for your student's education is sent you will get a confirmation email so you know the package is coming and what is included in it. The information included in that email will look different based on if it is regarding a purchase order item (items purchased by the program for your student's use) or an item borrowed from the lending library.
Purchase Order Materials
Items coming from purchase orders will be marked as either non-consumable or consumable. If it is marked as consumable it will need to be returned. Here is an example of what you will seen in an email confirmation that differentiates what each material has been classified as:
Library Materials
When you are being sent items you are borrowing from the library you will receive two emails. The first will be a 'Checkout Receipt". This list is generated shortly after your check out is complete and will show all items you have checked out from the library. If your order list is quite long you may need to log in to your library account as the list is not always listed in order of the date checked out. Here is an example of what a Checkout Receipt looks like.
When you receive your package please open it and verify that the contents match the list sent to you in the confirmation email within the first couple days of recieving the package. If the package contents don't match the confirmation list you are sent you must notify us via email within one week of your receipt of the package. After one week we can no longer accept reports that tehre was an iddue with your package or it's contents.
Shipment Information
Address
We primarily ship through USPS but larger packages are sent with UPS. We ship to the physical address we have on file for you and any changes to your address need to be sent to our registrar, Amanda Jones, at ajones@qsd48.org. It is vital you keep your address updated with us so that materials get to you in a timely manner and to avoid being charged for materials sent to the wrong address. All materials that are sent to an old address due to failure to keep us updated will be charged to your account; this includes the fees for shipping as well as any materials that are not recovered due to going to a move.
