Important Information for Contest Directors
Students’ contest numbers will be on your UIL roll sheet. Please give each student their contest number to write on the top of their test and answer document if the contest requires one..
Taking Roll
If a student is dropping the event, simply cross their name off the roll sheet
If a student is not there, make a note and then go on with the rest of roll call. You will then call for them again. If that person is not there, ask if there is an alternate present FROM THAT DISTRICT. If there is a sub or alternate present from that district where the student is missing follow these instructions.
If the substitute is listed as an alternate, there should already be a contestant number for that person.
If the substitute is not listed as an alternate, ask if the sub is competing in any other event. If so write in their name IN PLACE OF the person not there and use that contestant number..
If the substitute is not listed as an alternate and is not competing in any other event, he/she will need a substitute form.
If the student does NOT have the form, go ahead and let them compete and make note of it. We will handle it in tab later.
NOTE: Schools can NOT add students, only sub current competitors or drop them.
Unless Racy tells you to, we will NOT hold an event for another event or for students. If students arrive late, they will NOT be allowed to compete.
After the Test/Event:
Send Racy (rlkane@prosper-isd.net) a google chat message that you are ready to grade.
ALL GRADING WILL BE IN THE DESIGNATED ROOM ON THE SCHEDULE. Coaches should not see the roll that indicates names with contest numbers UNTIL the verification period.
5A Coaches should grade 6A and 6A coaches should grade 5A.
If any problems arise during grading that you do not know how to deal with or do not feel comfortable dealing with see Racy in the tab room or GOOGLE CHAT Racy Kane rlkane@prosper-isd.net.
Once grading is completed, you will fill out the scores and places on the roster and bring it to tab.: Let the coaches know that you will be back to do verification and to please stay there.
Once the results from your sheet have been put into Speechwire, tab will print copies of the verification sheet. While you return to the room, we will announce in the cafeteria that verification is beginning. Students AND coaches are welcome to attend.
Allow 15 minutes for verification. NO MATERIALS may leave the room during that time. Once verification is over, schools ARE ALLOWED to take their materials with them or return them to tab and place them in the bags for the designated school.
Once verification is over, take all materials to Racy in the tab room. Give Racy the results. Sort the remaining tests by school and place the completed tests into the appropriate school’s pile. Each school should also get at least one blank copy of the test if available and a key. Once that has been done and the results have been entered into the computer and confirmed that all is well, you will be cleared to go. We will go announce awards - unless you would like to do so.
