Using Google Calendar to Create a Google Meet

When you create an event on Google Calendar, you can add a video meeting link. Guests can forward the meeting link to other people. If an uninvited person from outside PPS tries to join, a meeting participant from your organization must accept their request.

  1. In Calendar, create an event.

  2. Click Add guests.

  3. Enter the names or email of the people you want to invite.

  4. Click the blue button to Add Google Meet video conferencing.

  5. Click Save.

  6. To notify guests, click Send.

Host Settings

Once you have added a Google Meet to your calendar invite, you can click on the gear to adjust settings, add co-hosts, or preset breakout rooms.

You can also manage host settings by opening the meet and clicking on the three dots and "settings."

Breakout Rooms

Breakout rooms can be created in the calendar invite prior to your meeting. However, all participants will need to be added to the calendar invite. Learn more about creating breakout rooms from inside the calendar invite.

Alternatively, you can create participant-selected Meet links and place the links for your participants in your presentation slides, a shared Google doc, or in the meeting chat.

To generate Google Meet URLs for your participant-selected document, you can go to meet.google.com and select "new meeting / create a meeting for later." Copy the link only, which will look something like "meet.google.com/xxx-xxxx-xxx".

If you prefer, you can also generate meet links for PPS use by using a nickname. Be sure your nickname is something unique. Add your nickname to "https://meet.google.com/lookup/..." Example: If my nickname was "oct_11PL" my meet URL would be "https://meet.google.com/lookup/oct_11PL".
