Guidelines & General Information
Attendance during Summer Academy 2025 is extremely important.
In grades K-5, student attendance is required on Monday-Thursday to be eligible for any Friday YMCA Power Scholars and or Full S.T.E.A.M Ahead Camp activity/field trips.
In grades 6-12, one day of Summer Academy is equal to approximately one week of regular school.
Parents are asked not to make vacation plans that will conflict with summer academy dates or consistently pick up students early or arrive late.
Attendance & Tardy Requirements/Protocol
After a student has incurred one unexcused absence the teacher will attempt contact with the student’s parents or guardian; this attempt shall be recorded in the designated form. If a student has incurred two unexcused absences the Summer Academy site administrator will attempt to make contact with the student’s parent or guardian; this attempt shall be recorded in the designated form.
Additionally, the Summer Academy AP/Coordinator(s) will send an attendance warning letter to the students’ registered mailing address. If a student has incurred three unexcused absences the Summer Academy AP/Coordinator(s) will attempt to contact the student’s parents or guardian.
Three tardies or three early dismissals will be counted as one absence, regardless of the amount of time involved. Any tardy after 10:30 am or any early dismissal prior to 10:30 am will be counted as a half-day absence.
K-5 students that arrive tardy must be signed in by a parent/guardian in the Summer Academy Office at PLES. Students will not be permitted to be dropped off in unauthorized locations with no Summer Academy Staff supervision.
There can be NO EXCEPTIONS to this requirement, REGARDLESS OF THE REASONS. These attendance and tardy requirements are not meant to be punitive. All schools must maintain and enforce a minimum number of student hours per class in order to retain their accreditation.
If a student fails to improve their attendance after these contact attempts, they will be withdrawn from Summer Academy.
Kindergarten through Eighth Grade Enrollment
Summer Academy enrollment will be open by invitation for students in grades K-5 considering Tier-3 intervention and remediation as evidenced by class grades and/or SOL scores and chronic absenteeism rates.
Sixth through Eighth Grade Enrollment
Summer Academy enrollment will be open to all students in grades 6-8 . However, if there are staffing limitations priority enrollment will be given to students who need Tier-2 and Tier-3 intervention and remediation as evidenced by class grades and/or SOL scores and chronic absenteeism rates.
Ninth Grade through Twelfth Grade Enrollment
Summer Academy at the high school level will focus on specific full credit (initial) courses and credit recovery. Students who need one to two verified credits can be enrolled in Summer Academy. Priority enrollment will be provided to students who need verified credits to participate in summer commencement.
Enrollment
Families will receive an enrollment confirmation letter/email that will contain the following information:
Student’s First and Last Name
Student’s Grade Level
Summer Academy Site
Teacher Assignment (if available)
Late Registration
Onsite late K-8 registration will be held for the first three days of Summer Academy (June 9-11, 2025). To avoid having to create new classes or overburdening current classes, late registration will be capped at 5% of the total enrollment for Summer Academy in that grade level.
For example, if Kindergarten has 100 students enrolled only 5 late registration slots will be available. Therefore, late registration will be on a “first come, first serve” basis. Once these late registration slots are full, registration will be closed.
Late registration is not an option for grades 9-12 initial full credit courses & credit recovery courses due to the number of instructional hours needed in a course to satisfy accreditation standards.
“No Show” Student Withdrawal
If a student fails to attend by the second Monday of Summer Academy their name will be removed from the Summer Academy roster. Prior to the withdrawal the following individuals should attempt contact
First Attempt-Teacher (First Tuesday)
Second Attempt- Summer Academy Site Administrator (First Thursday)
Third Attempt- Summer Academy AP/Coordinator(s) (Second Monday)
These attempts will be documented via designated contact log form.
Behavior/Conduct Student Expectations
Summer Academy is a privilege afforded by PCPS free of charge to all PCPS eligible K-12 students.
PCPS Summer Academy is an extension of the regular school year experience. The PCPS Student Code of Conduct is still in effect during Summer Academy and the SBAR (Student Behavior & Administrator Responses) as mandated by VDOE will be used in the event of any misconduct or violation of the Student Code of Conduct.
There is much to be done in a shortened time frame and, therefore, little time for behavior concerns.
Students referred to the summer administrator for violations of discipline may be withdrawn from Summer Academy.
Copies of the Summer Academy Discipline Guidelines will be distributed on the first day of the summer session to be signed by both the student and a parent or guardian and returned to the school for all K-12 students.
Safety & Security Protocols
Students will enter the Summer Academy site through the entrance doors designated by the Summer Academy Site Coordinator at each location.
Students will not be permitted to be dropped off in unauthorized locations with no Summer Academy Staff supervision.
