Scan ALL of the clearance certificates into ONE PDF document file and then save it to your computer in a location you can find it when you are ready to upload.
Ensure that your file contains:
PA Child Abuse Clearance Certificate
PA State Police Criminal Record Check
FBI Criminal Record Check Certificate OR the Volunteer Disclosure Statement
If you need assistance with scanning and combining the clearances into one file, we recommend that you ask a fellow member and/or your chain of command to help you get this done.
If you do not have access to a scanner there are a number of phone apps that you could use such as Adobe Scan to PDF or you can reach out to your squadron or another member who has a scanner.
Please Note: Cadets will not be able to upload their clearances into eServices. Email the clearances as an attachment to the PA Wing Director of Personnel (see PA Wing Staff Directory).
Follow the steps below for an adult member to upload clearances:
Logon to eServices
In eServices, click on your name and select Security Clearances, then click on eServices Home in the menu bar.
On the left hand menu, select Clearance Certificates
Click “Choose File” and select the file on your computer that contains your clearance documents (make sure file is less than 2MB)
Do not enter today's date! Look on the dates of your clearance documents and use the one that will expire first.
For example, if your documents are dated 1 Sep, 1 Oct, and 1 Nov, use the September date.
Click Submit
You may get a message confirming your Clearance Certificate upload was successful.
If you encounter an error during the upload try to reduce the file size and ensure that it is smaller than 2MB.
If the eServices upload continues to not be successful, copy the error message that is displayed (screenshot if possible), along with your name and CAPID, to the PA Wing Personnel Officer (see PA Wing Staff Directory). The subject line of your email should state that you need help with a clearance certificate upload failure.
