There are three phases of event organisation:
Pre-event—consisting of items that need to be completed prior to event commencement.
During the event—consisting of items that need to be completed while the event is being held.
Post-event—consisting of items that need to be seen to after the conclusion of the event.
Create a checklist of important actions that need to be completed for the pre, during and post event phases.
Contingency means a possibility, something that may or may not happen depending on circumstances.
When planning any sporting event, organisers must have contingency plans in place for any unexpected occurrence. Unexpected occurrences could include wet weather, extreme temperature conditions or equipment failure.
Consider the contingency plans that already operate in your school.

What emergencies may arise?
How can the unplanned events or emergency situations be dealt with/solved?
