If you're a trainee in a Rosetta Commons lab, the following will be covered:
Lodging - a shared room will be arranged for you (no need to book your own)
Flights - you will book through our travel agent
Meals - breakfast, lunch, breaks, and Friday night group dinner
Not covered: ground transportation, dinners throughout the week (except group dinner on Friday), and food during travel days.
Rosetta Commons' attendees airfare will be covered by the Rosetta Commons. You will receive instructions for how to book your flights via our travel agent. You will fly into Nashville airport, airport code BNA.
Arrival: Fly into Nashville on Sunday, Nov 2 and check into the hotel that afternoon or evening
Bootcamp: Runs Monday 9 AM – Friday 10 PM (Nov 3–7)
Departure: Check out on Saturday morning, Nov 8 and fly out
Please review the travel policy before booking your flights! Failure in doing so might result in expensive mistakes on your part as Rosetta Commons can not allow reimbursements!
Taking an Uber/Lyft from the airport to the hotel is the most cost effective and convenient way to get to Vanderbilt. The fare is typically around $30-50 and takes 20-30 minutes. If you If you want to save money and coordinate with others to share a ride, you can do so HERE. Please update this table if your flight time changes. In a pinch, don’t hesitate to reach out on Slack too. Note that Rosetta Commons will not cover ground transportation.
Lodging will be provided for attendees. Check-in will be on Sunday, November 2, 2025 and check-out will be on the morning of Saturday, November 8, 2025. Please indicate on the registration form whether you need lodging and your roommate preferences. Lodging will be provided by the Holiday Inn at Vanderbilt which is directly next to the Vanderbilt University campus. The Bootcamp will be held at the hotel as well.
Breakfast, lunch, breaks and a Friday night group dinner will be provided. You will be responsible for dinner on the other days and for food during travel.

To help keep everyone safe and healthy, attendees are expected to self-monitor for symptoms of illness and not attend if feeling unwell, testing positive for COVID-19, or having close contact with someone who tested positive within the past 5 days. Attendees are strongly encouraged to discuss COVID-19 vaccination, including any recommended booster doses, with their health care provider prior to attending the event. Masks and hand sanitizer will be available, and good hygiene is encouraged. If you become ill during the event, notify the organizers immediately so alternative arrangements can be made.
Reimbursements will not be provided by Rosetta Commons. Attendees may submit expenses for ground transportation and meals not covered by the workshop to their home university for reimbursement, if allowed by their institution’s policies.
