How to log into MyNSM Records

    1. Go to www.mynsm.uh.edu

    2. Login with your CougarNet Username & Password

    3. Click on the Records icon under 'Apps' to access the Records Portal once you have been authorized access it.

      • Note: If you do not see the icon you may not have been granted access, especially if it is the first time you are using MyNSM. Please contact the NSMIT office at support@nsm.uh.edu or at 3-1618 to request access to MyNSM Records.

How to post Opportunities for Undergraduate Students

  1. Click here to access the form or follow the MyNSM Records path Forms => College of Natural Sciences and Mathematics => Dean => NSM Research

  2. Fill in your project information. Please note:

      • Image: You need to upload an image. It can be a picture of you, your lab, or something relevant to the research. This image will appear as a tile next to your post on the webpage.

      • Required fields: Only fields with Red stars are required. Other fields may be left blank if you wish.

      • Application deadline: If you enter an application deadline, the post will disappear from the page when the deadline has passed.

      • In the Academic Level* box choose "Undergraduate" from the dropdown menu.

  3. Click "Preview" to review how your post will appear on the student page.

  4. Click "Submit" to post the information to the website.

  5. The NSM Research opportunities posts will appear on the NSM Undergraduate Research Opportunities Portal that is searchable by all students.

  6. Please note: Text entries are plain text with no formatting please use this cheat sheet if you would like to add specific formatting styles to your text, and remember to use the <br> tag to separate ideas in a sentence.

How to post Opportunities for Graduate Students

  1. See the How to post Opportunities for Undergraduate Students tutorial. Under Step 2, in the Academic Level* box choose "Graduate" from the dropdown menu.

  2. Click "Preview" to review how your post will appear on the student page.

  3. Click "Submit" to post the information to the website.

  4. The NSM Research opportunities posts will appear on the NSM Graduate Research Opportunities Portal that is searchable by all students.

How to Edit a Submission

  1. Click here to edit a submission or follow the MyNSM Records path Records => College of Natural Sciences and Mathematics => Dean => NSM Research

  2. Click on the post/project you want to update.

  3. Enter/modify your project information. Please note:

      1. If you fill the position before the application deadline has passed, you can manually remove the post by clicking “Removed” in the Status drop-down box or by clicking on the "Delete" button.

      2. To temporally hide a post, you change the form Status to “Inactive”.

  4. Click "Preview" to review how your post will appear on the student page.

  5. Click "Submit" to post the information to the website or remove the information from the website.

  6. The NSM Research opportunities posts will appear on the NSM Undergraduate Research Opportunities Portal that is searchable by all undergraduate students.

How to Generate Custom Public Link...

  1. Click here to open the NSM Research Portal or follow the MyNSM Records path Records => College of Natural Sciences and Mathematics => Dean => NSM Research

  2. Click on the "Generate Custom Public Link..." located on the top left corner.

  3. Select "Academic level" (Undergraduate or Graduate)

  4. In the Select Department box choose a department from the dropdown menu.

  5. Once you click the "Copy to Clipborad button", your link is created and copied to your clipboard.

  6. Now you're ready to paste the link into an email or into a web browser to share with other people.

  7. To paste it, open an email or browser, right click and select "paste".

How to Review/Approve/Deny Submissions

Each time a form is submitted for review, approvers are notified via in-app notification or by email. Below is a detailed breakdown.

Steps to Review/Approve/Deny submissions via in-app notification:

  1. In MyNSM Records click the "Records" tab.

  2. Select a College from the list (The Departments in that College will appear).

  3. Select a Department from the list (The forms in that Department will appear).

  4. Click on the desired form to view each form submission you have received.

  5. To approve submissions, the approver must click on the Last Name link provided for every form entry. On clicking the link, a submission entry is displayed along with the Approve, More Info Needed and Deny buttons.

Steps to Review/Approve/Deny submissions via email notifications

  1. Monitor your email for new form submissions notifications.

  2. Click on the link provided in the email to access and review the submission entry on the MyNSM portal along with the Approve, More Info Needed and Deny buttons.

The following steps can be taken by approvers as well:

    1. Click on either the "Approve", “More Info Needed“ or “Deny” button to send a notification to the appropriated user or approvers.

    2. Leave comments for each entry. These comments will be visible to other approvers in the approval workflow.

How to Request MyNSM Records Access

Please contact the NSMIT office at support@nsm.uh.edu or at 3-1618 to request Approver access to a specific Form in MyNSM Records. Once a user is added as an approver for a particular form, each time the form is submitted for review, the approver user is notified via in-app notification or by email.
