Your Research Activity Data and CPMS

The process of collecting and confirming Research Activity data has changed.

Research activity data for your study will be collected and inputted at sites across the UK into Local Portfolio Management Systems (LPMS).

This data will flow directly into the Central Portfolio Management System (CPMS), where we would like a representative of the commercial sponsor or CRO to confirm it on a monthly basis. This process replaces the need to send a monthly recruitment spreadsheet.

What is Research Activity data?

NIHR Clinical Research Network, along with our partner networks in Scotland, Wales and Northern Ireland, collect essential information about the the set up and delivery of clinical research across the UK. Particularly, we gather information about the number and types of participants taking part in research. This is also known as Recruitment Data.

We now have the ability to receive Consented, Recruited and Failed Screening data for all studies. The NIHR definitions of these Participant Statuses is as follows:

Consented the participant provided informed consent to join a study.

Recruited the participant provided informed consent to join a study and is taking part in the study (i.e. participants who count towards the sample size of the study as set out in the study protocol and having been deemed eligible according to any screening tests applicable)

Failed screening the participant has given consent to non standard clinical investigations, procedures or tests relating to a study, but following these procedures was found to be ineligible to take part in the study.

Why the change?

It will allow Company Representatives and local teams to communicate on exact activity figures. Furthermore it will provide better visibility to the Sponsor/CRO of local site recruitment, and a chance to iron out any discrepancies.

The sending of Research Activity from LPMS to CPMS will enable a single recruitment upload. Removing the need to provide a spreadsheet will improve data quality and reduce cross-checking.

When you log-on to CPMS, you will be presented with monthly consent totals, as well as failed screening and recruitment data entered into LPMS by staff at site.

Another improvement is to be able to capture near real-time data simultaneously in two systems - given that local teams have instant cloud access to LPMS and can upload as activity happens.

It will aid us in monitoring and then supporting studies at practice/site level and thereby contribute to the wider work of understanding research activity against burden of disease

What do I need to do now?

Within your organisations please cascade messages, communications and links to this site to anyone who has responsibility for recruitment data.

Ensure the person responsible for recruitment data has a valid CPMS account and can access the study in the Research Activity Confirmation feature.
