Zoom Live Meeting Transcription
Zoom now offers automated speech to text transcription during your meetings. This standard feature can be enabled by the host once the meeting begins. The use of live-meeting transcriptions is highly recommended in order to make your meetings more accessible to all participants.
Important note: Zoom live-meeting transcription is generated using artificial intelligence and is not 100 % accurate. Faculty who have been informed that a student requires ADA compliant captions during meetings should contact the Office of Student Accessibility Services to coordinate a live-interpreter or other available option.
Tips for more accurate transcriptions
Use an external microphone to ensure better audio quality.
Speak slowly to allow an accurate match of what is being said.
Take turns and pause before speaking when more than one person is presenting. This allows the system to correctly identify each unique speaker and not combine multiple voices in the transcript.
Enabling Live Meeting Transcription
Step 1: Click the Live Transcript button in the meeting controls.
Step 2: Click Enable Auto-Transcription in the pop-up menu.
Note: If the meeting is being recorded, and you have enabled Live Transcript, you will receive a copy of the transcript in the same location of your meeting recording.
Once enabled, the live transcription will appear on the lower portion of the meeting screen.
Adjusting Transcript Settings
The meeting host can adjust the default size of the in meeting transcript. Participants are also able to readjust the text size in their meeting controls.
Step 1: To view advanced settings, click the chevron arrow next the Live Transcript button.
Step 2: Select Subtitle Settings... from the pop-up menu.
Step 3: Under Closed Caption, move the slider to adjust the text size as desired.
Step 4: Click the X to close the Settings window.
Meeting Participant Options
Once Live Transcription is enabled in a meeting, meeting/event participants have the option to choose how they want to view the automatic transcription feature.
Step 1: Click Live Transcript to choose a transcript option.
Show Subtitles displays subtitles on the screen.
View Full Transcript displays subtitles in real time with both the speaker's name and a time-stamp within the transcript window. We recommend this setting as best practice.
Subtitle Settings opens a window where participants can adjust the font size of both the subtitles and the chat window.
Downloading a Transcript
Participants can save a copy of the meeting transcript. This file should be downloaded prior to the end of the meeting.
Step 1: Click the Live Transcript and then select View Full Transcript.
Step 2: A transcript panel will appear, click the Save Transcript button. A copy of the transcript will be downloaded to your device.
Note: The transcript saves up to the moment of clicking Save Transcript. This option may not be available if the host has disabled this feature.
